Are you an experienced Administrator looking for an exciting opportunity to be at the forefront of digital change in healthcare? We are seeking a Portfolio Administrator to join our innovative team at an acute hospital within the NHS. In this role, you will drive digital transformation in healthcare and support the improvement of patient outcomes. As a key member of our team, you will work closely with clinical and non-clinical staff to identify areas for improvement, assess digital solutions, and help provide ongoing support. Responsibilities:

  • To support the Portfolio Manager and Team in effecting the Digital Portfolio initiation and handover stages and its constituent projects, including planning, supporting, facilitating, analysing and monitoring progress of the project delivery programme.
  • To support the Digital Portfolio Team ensuring that the work conforms to departmental standards.
  • To support the process to establish and maintain the Document Management System for the Portfolio.
  • To support assurance and analysis to ensure continual business justification for the project initiative and elements within the delivery programme and that they are fit for purpose.
  • Ensure that project initiatives are focused on delivering the Trust's strategic objectives.
  • To support the production of meeting documentation and reporting.

Person Specification:

Essential:

  • Qualified to NVQ Level 4/5, foundation degree or diploma level in secretarial, administration, project management or organisational disciplines.
  • Significant experience of working in an administrative role within a complex organisational context (including diary management, communication with a wide range of staff, internal and external).
  • Experience with IT systems to support meetings, document production and management, spreadsheets and presentations.
  • Experience with purchasing processes and procedures relating to consumables, stock and equipment.
  • Experience within a project management and/or IT environment.
  • Excellent organisational, analytical and judgemental skills to fulfil key office roles and support effective decision making.
  • Efficient production of administrative products (letters, emails, reports, spreadsheets, presentations).
  • Computer literacy in Microsoft Office (Word, Excel, PowerPoint).
  • Strong communication and ability to work with staff at all levels.

Desirable:

  • Training in related areas to support professional and personal skill development.
  • Experience with Microsoft Project, Celoxis and Visio.
  • Attendance at and servicing of meetings at Executive/Board level, including notes taking.
