We are seeking a proactive and detail-oriented Administrative Executive to join our team. This role is crucial in supporting our conveyancing department with administrative and clerical tasks, ensuring smooth day-to-day operations.
Job Responsibilities:
- Draft and send letters to clients and stakeholders regarding conveyancing matters.
- Respond to client inquiries professionally via phone and email.
- Schedule and organize appointments, meetings, and follow-ups with clients and external parties.
- Prepare and organise legal documents for conveyancing transactions (e.g., sale and purchase agreements, tenancy agreements, title deeds).
- Maintain an organised filing system, both physical and electronic, ensuring all documents are stored securely.
- Enter conveyancing transaction records and related data into the case management system.
- Ensure timely and accurate update of data and documents into the system and files.
- Monitor key dates and deadlines related to conveyancing transactions.
- Perform general office tasks, including filing, photocopying, scanning, and archiving.
- Other ad-hoc office administration support as and when necessary.
Job Requirements:
- Minimum GCE “O” level, at least 1 – 2 years of relevant working experience.
- Pleasant personality, friendly and smiley.
- Fluent command of English and Mandarin in order to liaise with Mandarin speaking associates.
- Professional presentation and excellent customer handling skills.
- Pleasant demeanour, positive attitude with an eye for details and willingness to serve.
- IT savvy and proficient quality work.
- Able to multi-task and work in a fast-paced environment.
- People-oriented team player with excellent interpersonal and communication skills.
