This role is key to providing proactive and comprehensive support to four fee earners, delivering a full secretarial and administrative service. The position requires close collaboration with secretarial colleagues to ensure consistent and efficient support across the team. The successful candidate must demonstrate excellent organisational and communication skills, along with the ability to manage emails and phone calls with minimal supervision.
Key responsibilities include, but are not limited to:
- Typing from dictation
- Producing, formatting, and amending documents
- Applying for searches and Land Registry applications
- Managing client communications via telephone and email
- Diary management, including arranging meetings, accommodation and travel as required
- Support with business development initiatives
- File management, including opening and closing files, conducting compliance checks, and scanning and saving documents to the document management system
- Assisting with billing and financial management
We are currently looking for the following experience/skills:
- Proactive and resourceful, able to anticipate needs and take initiative without waiting for direction
- A confident and skilled communicator, able to liaise effectively with clients, colleagues, and stakeholders at all levels
- Highly organised, with a keen eye for detail and the ability to manage multiple tasks simultaneously, even in a fast-paced environment
- A critical thinker who isn’t afraid to challenge the status quo and suggest improvements where necessary
- A self-starter, able to prioritise tasks and manage time effectively with minimal supervision
- Adaptable, with a flexible approach to work and the ability to switch between tasks effortlessly
- Confident in using technology, including advanced proficiency in MS Office packages such as Word, Excel, PowerPoint, and Outlook and also Teams
- Property experience, preferable but not essential, full training will be given
