We are looking for an experienced Senior Resource Manager to lead resource planning and operational efficiency across our Creative, Strategy, and Client Service teams. This role is responsible for ensuring the right people are assigned to the right projects at the right time, balancing business priorities, team wellbeing, project profitability, and client delivery standards. The ideal candidate combines strong commercial awareness with exceptional organisational skills and thrives in a fast-paced agency environment. They will play a critical role in improving forecasting accuracy, maximising chargeability, managing capacity, and supporting profitable project delivery across the business.
Key Responsibilities
- Resource & Capacity Management
- Own and manage day-to-day resourcing across Creative, Strategy, and Client Service teams.
- Maintain accurate short, medium, and long-term capacity forecasts.
- Balance workloads effectively across departments to optimise utilisation.
- Proactively identify resource gaps, overcapacity, and hiring/freelance requirements.
- Lead weekly resourcing and traffic meetings with department leads.
- Ensure projects are staffed with the appropriate skillsets, seniority, and availability.
- Planning & Forecasting
- Build and maintain accurate resource plans across all active and upcoming workstreams.
- Ensure resource schedules remain up to date and aligned with changing priorities.
- Anticipate future staffing needs based on sales pipeline.
- Stakeholder Management
- Act as the central point of coordination between resource requests and the departments.
- Build strong relationships with department leads to understand team strengths, development areas, and ways of working.
- Support a positive agency culture through fair and transparent resource management.
- Escalate risks, conflicts, or delivery concerns proactively and constructively.
- Commercial & Financial Performance
- Monitor and improve team chargeability and utilisation across departments.
- Partner with Client Services and Finance to ensure projects are delivered profitably.
- Track forecasted vs actual hours and identify risks to project margins.
- Support accurate project scoping by providing realistic resource and timing recommendations.
- Help drive operational efficiency and improve billable output across the agency.
- Produce regular reporting on utilisation, recoverability, profitability, and resource trends.
- Freelance Management
- Manage the sourcing, onboarding, allocation, and offboarding of freelance across Creative, Strategy, and Client Service teams.
- Maintain accurate records of freelance bookings, costs, contracts, and performance.
- Ensure freelance support is aligned with budgets, timelines, and profitability targets.
- Ensure freelancers are effectively integrated into project teams and workflows.
- Build and maintain a strong network of trusted freelance partners and specialist contractors.
- Process Improvement
- Refine and improve resource management processes, workflows, and reporting systems.
- Champion best practice in planning, resource management, and timesheet accuracy.
- Drive consistency in how resource allocation is managed across teams.
Skills, Knowledge & Expertise
- Experience in Resource Management, Traffic Management, or Operations within an agency environment.
- Proven experience managing multidisciplinary teams across Creative, Strategy, and Client Services functions.
- An understanding of agency commercials, including utilisation and project profitability.
- Excellent analytical and problem-solving skills with high attention to detail and accuracy.
- Strong communication and stakeholder management skills.
- Ability to manage competing priorities in a fast-paced environment.
