We are now looking for an
Internal Brand Coordinator , a central operational role supporting Antala's customers, suppliers, sales team and internal departments across the full brand portfolio.
This position combines customer service, internal sales support, procurement, stock planning, order coordination, and goods-in administration.
About the role
As the Internal Brand Coordinator, you are responsible for ensuring that enquiries, sales orders, and purchase orders are handled accurately and efficiently from initial request through to delivery.
You will develop broad knowledge of Antala's brands and products, maintain strong customer and supplier relationships, and provide flexible cover across the internal team during peak workloads, holidays, and other absences.
- Customer service and sales support
- Act as a key internal point of contact for customers, suppliers, external sales colleagues and other departments, managing enquiries and providing accurate product, price, stock, order and delivery information.
- Process customer orders from quotation and order entry through to dispatch, delivery and after-sales follow-up, proactively identifying needs and passing on qualified sales leads.
- Build sustainable relationships and trust with customer accounts through open, professional and proactive communication.
- Handle complaints, returns, delivery discrepancies and account queries, coordinating solutions within agreed timeframes and following up to resolution.
- Maintain complete and accurate records of customer interactions, orders, accounts and quotations, and contribute to agreed service and commercial targets.
- Brand and internal team support
- Provide day-to-day coordination and administrative support across all Antala brands, rather than being limited to one dedicated portfolio.
- Develop broad technical and commercial familiarity with the company's brands and products to understand customer requirements and route enquiries effectively.
- Support brand managers, sales, technical, warehouse, finance and operations colleagues with quotations, order updates, product information and administrative tasks.
- Prepare and maintain price lists, forecasts, sales reports and other internal records, and provide dependable cover during peak demand, leave and absences.
- Assist with ad hoc operational projects and suggest practical improvements to internal processes, communication and data accuracy.
- Procurement, stock and supplier coordination
- Review sales, purchasing and stock data to support demand forecasts, replenishment decisions and appropriate stock levels.
- Raise and process purchase orders in line with internal approvals, supplier agreements and stock targets, liaising with suppliers on pricing, lead times and confirmations.
- Track open purchase orders, expedite critical material and elevate shortages, delays or supply risks at an early stage.
- Maintain accurate supplier, purchasing and stock information in the ERP system, and support inventory optimisation and supplier performance monitoring.
- Goods-in and logistics coordination
- Coordinate goods-in and goods-out activity with the warehouse, suppliers, carriers and internal teams, booking material accurately into and out of the ERP system.
- Check received quantities, batch or lot details and documentation, investigating and resolving shortages, damaged goods or delivery discrepancies.
- Coordinate dispatches and carrier collections, and support cycle counts, stock checks and annual stocktakes.
About you
Essential experience and skills
- Previous experience in customer service, internal sales support, procurement, purchasing, logistics or supply-chain coordination; ideally within a B2B distribution or manufacturing environment.
- Experience processing sales and/or purchase orders and managing order-related enquiries accurately from receipt through to completion.
- Practical experience of stock management, purchasing, goods-in processes or supplier coordination.
- Confident use of Microsoft Excel and Outlook, with experience of CRM and ERP systems, and strong numeracy for working with price lists, forecasts and commercial data.
- Excellent organisation and attention to detail, with the ability to prioritise competing demands and remain effective under pressure.
- A proactive, flexible and collaborative approach, with professionalism, ownership and a consistent focus on accuracy and service.
Qualifications and desirable experience
- GCSE English and Mathematics at grade 4/C or above, or an equivalent qualification.
- A relevant further-education, degree, CIPS, business, logistics or supply-chain qualification is desirable but not essential.
- Experience within specialty chemicals, industrial distribution or manufacturing, and familiarity with batch-controlled or regulated products, would be advantageous.
