The Office Operations/IRB Coordinator will provide essential clerical and organizational support to the Associate Vice President (AVP) to ensure effective and efficient operation of the PRIA office. The position also serves as a member of the College's Institutional Review Board (IRB) and supports the IRB with communication and documentation, and maintains a culture of compliance with federal regulations and institutional procedures relevant to human subject research.

Job Duties and Responsibilities

  • Provide administrative support to the AVP, which may include, but is not limited to, scheduling meetings, managing the office budget, maintaining PRIA staff in-person/remote work schedules, and composing general administrative correspondence for the AVP’s signature.
  • Facilitate office events and campus-wide activities hosted by the office (e.g., PRIA open house, holiday parties, office retreat, etc.).
  • Maintain the office website, Intranet, and portal site.
  • Maintain certification as the IRB administrator through the Collaborative Institutional Training Initiative (CITI) Program.
  • Maintain IRB records per federal regulations and ensure that the records are accessible, upon request, to authorized federal officials.
  • Maintain the retention of college IRB records and documents for at least seven years past completion of the research activity.
  • Communicate with prospective IRB applicants and respond to inquiries in consultation with the AVP and IRB faculty co-chair.
  • Coordinate to ensure prompt reporting to the IRB on proposals for review and approval.
  • In consultation with the AVP, ensure the prompt reporting to the Office for Human Research Protections (OHRP) and any sponsoring federal department or agency head of: a) any unanticipated problems involving risks to participants or others; b) any serious or continuing noncompliance with the regulations or requirements of the IRB; and c) any suspension or termination of IRB approval for research.

Required Qualifications

  • Bachelor's degree or higher.
  • Minimum of two years of relevant experience.
  • Strong written communication and organizational skills, including the ability to compile meeting minutes and coordinate events.
  • Excellent planning, project management, and record-tracking skills.
  • Excellent interpersonal skills with the ability to cultivate professional and business partnerships.
  • Have a general understanding of the operations of higher education institutions (College working experience preferred).
  • Have basic knowledge about human subject research, including ethics, federal regulations, and administrative management.
  • Willingness to take required courses and maintain certification as the IRB compliance coordinator through the Collaborative Institutional Training Initiative (CITI) Program.
  • Ability to maintain confidentiality.
  • Experience managing web pages and intranet is desired.
  • Ability to anticipate needs and strong problem-solving skills.
  • Proficiency in computer software like Microsoft Office.

Preferred Qualifications

  • Previous college work experience is preferred.

In the best interest of the College, only individuals who are residents of Maryland or one of the following states will be eligible for employment at the college: Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia. The college will annually review this restriction and, if appropriate, expand the list of states of employment eligibility.
