Experienced Operations Administrator required for a temporary contract. As the first port of call in the college-based summer offices, the Operations Administrator will fulfil essential administration tasks to support the smooth running of the summer school. This role involves fielding enquiries from staff (both academic & non-academic), as well as students, parents and other key stakeholders throughout the program during office hours.
Responsibilities
- Create clear and effective staff and student communication systems, and create a welcoming and informative environment for the students.
- Oversee the finance system and help to maintain and record the finances and expenses for the summer programs.
- Ensure all staff are aware of and adhere to financial processes, with a focus on efficient and effective implementation of receipts and processing.
- Help implement and oversee different safety procedures and protocols for students including the daily sign in/sign out book for the students based in the office.
- Create and encourage a tidy, clean and professional office environment.
- Welcome all staff, parents, students and college staff in a friendly, professional manner.
- Undertake core logistical and administrative responsibilities to help support the Finance Manager, Business Operations Manager, Director of Operations and senior leadership team.
Secondary Responsibilities
- Ensure all staff are aware of, and comply with, the day-to-day management, administrative, financial and operational procedures and offer advice and guidance where they do not.
- Uphold, protect and promote core values, protocols and standard operating procedures so that students do the same.
- Undertake all other duties and responsibilities commensurate with the knowledge, skills and experience of this role as may be requested by the Program Director or one of their nominees.
Qualifications
- Previous experience working in an office setting.
- Excellent written and verbal communication skills.
- Excellent computer skills (Word, Excel and G Suite).
- Exceptional customer service focus with strong organisational skills.
- Ability to multi-task and prioritise daily tasks.
- Strong attention to detail with the ability to work without supervision.
- Articulate, engaging and sociable.
- Hard-working and flexible.
- Empathetic, supportive and positive.
- Knowledge of Soldo & Dext or similar accounting software.
- Knowledge of Cambridge city, its colleges and history (desirable).
Details
The contract will start 29th June and will run through until mid-August. This will be a part-time role working 11am-3pm Mon-Fri and you will be based on site in the college offices.
