The Marine HR Department plays a critical role in ensuring that our organization has a skilled and competent workforce to support our operations. We arrange and coordinate all aspects relative to Worksite Personnel being employed, paid, appointed, joining and leaving Client Worksites, all in accordance with the company Quality Management System and associated work processes and client specific requirements. What You will Do
- Arrange and coordinate all aspects relative to sea staff being employed, paid, appointed, joining and leaving Company vessels, in accordance with the company Quality Management System and associated work processes and client specific requirements.
Roles and Responsibilities
- Act as a first point of contact for all personnel-related matters and queries for personnel placed on vessels under your responsibility.
- Ensure vessels are manned by suitably experienced and qualified personnel as per Safe Manning, STCW and Flag Certification requirements, within budget and whilst adhering to Client / Company Policies, Procedures and Guidelines.
- Follow documents check process and recruitment procedures as defined in Marine HR Manual.
- Ensure newly recruited and promoted personnel are provided with Company / Client policies and procedures and ensure briefings are carried out and recorded as per AESM procedures (including Senior Officer visits and debriefings) when required.
- Issue MLC Employment Agreements for sea staff.
- Monitor all employee documentation and ensure necessary compliance is maintained.
- Ensure travel and visas are arranged in a cost effective and timely manner adhering to Company / Client travel policies.
- Programme, arrange and advise all concerned of sea staff travel details and ensure ships are aware of relief intentions.
- Liaise with Clients and technical managers, plus overseas manning agents as instructed.
- Maintain accurate and up-to-date crew lists reflecting crew changes carried out.
- Input and update crewing system and personnel file in a timely manner, for maintenance of records and payroll purposes.
- Process payrolls within deadlines, including allotments, timesheets, DRJCS, expenses and liaise with the Accounts Department to ensure payments are made in a timely manner.
- Collate performance appraisal reports and highlight perceived training needs.
- Inform the Assistant General Manager of any problem or potential problem, which may significantly impact on the manning requirement.
- Provide information for P&I claims.
- Attend meetings as required, including Ship Visits.
- Assist Assistant General Manager with the preparation of crew budgets when required.
- Prepare monthly reports e.g. turnover, dismissals, and statistics.
- Be on out of hours call to deal with any emergency issues which may arise involving seafarers’ welfare.
- Review and provide feedback for opportunities for improvement or amendments to Marine HR Manual.
- Promote and comply with the company’s Safety and Environmental Policy plus any other duties as may be reasonably required by the Management or Senior Management of the Company.
What We Are Looking For
We are currently recruiting for two vacancies within our team. Candidates should meet the following general requirements for either of the two positions:
- Position 1 – Shipping / Oil & Gas: At least 3 years in Recruiting and managing Crew personnel in shipping industry; knowledge of the Oil and Gas Industry.
- Position 2 – Cruise Industry: At least 3 years of experience in recruiting and managing crew personnel in the cruise industry; knowledge of cruise operations and industry standards.
