We are constructing a state-of-the-art underground mine to enable the extraction of Polyhalite – a unique multi-nutrient fertiliser – along with the necessary infrastructure both above and below ground that will be required for transport, processing, and distribution. POLY4 is our flagship multi-nutrient fertiliser product. Made from polyhalite, it contains four of the six macro-nutrients and many micronutrients that are essential to plant growth. It allows farmers to maximize their crop yield, increase quality and improve soil structure with one simple product.
Join us as a Team Administrator, where you will support and contribute to the Commercial function by providing high-quality administrative assistance to our regional and functional leadership teams. In this dynamic role, you’ll play a key part in ensuring smooth day-to-day operations across multiple time zones, helping to coordinate meetings, manage communications, and facilitate travel and events. Your attention to detail, proactive approach, and ability to handle sensitive information with discretion will be essential in supporting a fast-paced, collaborative environment.
Your duties will include:
- Prioritising issues for the attention of the team across multiple time zones.
- Coordinating and scheduling meetings and appointments.
- Taking meeting minutes and following up actions.
- Filtering and responding to internal and external queries.
- Handling incoming correspondence and drafting appropriate responses.
- Managing team diaries and providing administration assistance.
- Administering onboarding activities for new hires.
- Coordinating leave and other absences for the regional and functional leadership team.
- Creating and processing expense claims using Concur.
- Assisting in the organisation of travel for the commercial team and ensuring all travel details are in calendars and travel itinerary complete.
- Administration of travel risk assessments and assisting with travel and registration for conferences.
- Uploading of publications/presentations via conference website when needed.
- Organising team events and third-party visits in various locations including venue, travel, accommodation, schedules and visas.
- Raising purchase orders using the SAP system.
- Collating and circulating all relevant reports, presentations, including confidential and often sensitive documents.
- First point of contact for external customers, fielding and directing calls and email correspondence.
- Non-Disclosure Agreement (NDA) administration.
Qualifications:
- 5 GCSEs/equivalent, including English and Maths at Grade C or above.
- BTEC in Business Studies (or similar).
- Excellent written and verbal communication skills.
- Excellent keyboard skills - must be highly accurate and an excellent typing speed.
Knowledge and experience required:
- Ability to appreciate and respect confidentiality, always acting with discretion.
- Ability to work accurately under sustained pressure and to tight deadlines maintaining a calm presence.
- Ability to multitask, organise work and exercise a high degree of initiative.
- Excellent team working skills with the ability to work collaboratively and co-operatively with all stakeholders.
- Good organisational skills and ability to manage own time effectively.
- Experience of complex electronic diary management.
- Experience of complex (worldwide) travel arrangements and for this purpose familiarity of online booking systems/proven level of capability.
- Exceptional administration skills.
