Team Assistant - 6 Week Interim
Location: Charterhouse Street, London
Contract: 6 weeks
Work Setup: Hybrid - 3 days in the office
Start Date: 17 August 2026
We are looking for a Team Assistant to provide vital administrative and technical support to the VPs and wider team. This is a hands-on role for someone who is proactive and adaptable, with a strong focus on diary management, inbox support, raising systems POs and providing executive assistant support across travel and expenses.

What You'll Do
- Act as a role model for safety, health and environmental standards, taking personal responsibility for your own safety and that of others to support a zero-harm culture.
- Promote and reinforce a workplace culture where safety and health are prioritised, in line with the site's standards and the Group's values.
- Provide executive assistant support to VPs, including diary management, inbox management, travel arrangements and expenses administration.
- Prioritise and manage diaries proactively, including support with complex travel itineraries and wider administrative coordination.
- Support budget tracking by monitoring actual spend against budget and providing regular updates to the leadership team.
- Liaise with key external stakeholders to coordinate events, meetings and strategic engagements, and prepare PowerPoint presentations for internal and external use.
- Coordinate team meetings and offsite sessions, including agendas, scheduling, subject-matter expert input, logistics and general PA and administrative support as required.
What You Bring
- Proven experience as an Executive Assistant or Team Assistant, supporting Managing Director level or senior-led teams in large or corporate organisations.
- Demonstrable experience operating in a complex, matrix environment across multiple geographies and diverse team structures.
- Highly proactive and able to work quickly and accurately under pressure, with excellent attention to detail.
- Proven ability to handle confidential and privileged matters with discretion and sound judgement.
- Strong proficiency in Microsoft Office applications, particularly Excel and Outlook.
- Experience using travel and expenses systems, ideally Concur.
- Strong interpersonal skills with the ability to build positive working relationships, listen effectively, adapt behaviour where needed and contribute positively as part of a wider team.
