What will you be doing?
The Fleet Administrator will work within a team to enhance the overall fleet operation and help to ensure a safe, fit-for-purpose and available fleet in the most efficient and cost effective way.
Key Accountabilities
- Ensure fleet databases and the vehicle tracking system is accurate with new vans, movements of drivers between vehicles, joiners and leavers.
- Ensure fleet maintenance schedules are kept up to date including servicing and MOTs.
- Liaise with vehicle tracking provider to ensure all vehicles are tracked and run reports from the system as required.
- Review weekly vehicle check report and deal with any van issues.
- Prepare month vehicle road tax documentation.
- Inform managers of any van safety checks that are not complete.
- Order fuel cards for new employees and replacements for lost or stolen cards.
- Run reports from our systems on fuel spend and mileage.
- Ensure regular driving licence checks are completed.
- Administration of parking penalties, driving contraventions, speeding fines and accidents/incidents.
- Ensure Hire Vehicle database is accurate and vehicles are off hired in a timely manner.
- Support the Fleet Services Manager - Service with supply chain management including attendance at planned Operational review meetings.
- Ensure that you adhere to all company Health, safety and environmental policies and procedures at all times.
