Full EA support to the Founder and CEO
- Organise meetings and appointments, manage complex travel itineraries for the CEO and other staff members, and production of printed client presentations.
- Coordinate executive communications, receiving calls from clients and functional area providers, responding to emails, and interfacing with UK-based and international clients professionally and efficiently.
- Build and maintain effective working relationships with relevant functional support providers to the company across a variety of areas, including IT, Accounting & Finance, Regulatory & Compliance, Legal, Property Management and Recruitment, and wherever necessary, assist the CEO in supervising the work of these providers and driving results, including managing and coordinating special projects across functional areas.
- Develop and sustain a level of professionalism amongst staff and clients, including being an ambassador for the company across the firm’s diverse client base.
- Manage expenses, schedule support provider invoice payments, and assist with end-of-quarter/end-of-year reports.
- Oversee all office supplies and printers, manage utilities, maintenance, contracts, leases and landlord agreements.
- Work in line with the firm’s compliance and regulatory requirements, assist with client onboarding processes, attestations and operational and risk committee meetings.
- Maintain an organised filing system of electronic documents.
- Handle basic HR duties, including employee onboarding and coordinating performance reviews.
- Uphold the strictest levels of confidentiality and integrity.
Ideally you will have:
- Extensive experience as an Executive Assistant reporting directly to senior/executive management.
- Strong organisational, project management, and problem-solving skills with impeccable multi-tasking and workload management abilities.
- Exceptional interpersonal and communication skills.
- Friendly and professional demeanour.
- Self-motivation, instinctive team orientation, and persistence.
- Strong attention to detail.
- Experience in high-intensity client service industries such as strategic consulting or investment banking and/or high growth companies is a plus.
- Advanced Microsoft Office suite skills.
