A high-performing Executive Search firm are actively seeking an organised and proactive Team Assistant to support their consultants and Managing Director. This is a varied and fast-paced role, with a strong focus on diary management and interview coordination, alongside Executive Assistant support at senior level.
Key Responsibilities
- Manage complex diaries for consultants, scheduling interviews and meetings across multiple time zones
- Coordinate interview logistics, including calendar management, video links, and room bookings
- Send professional email confirmations and follow-ups to candidates and clients
- Act as a key point of contact for scheduling queries, ensuring a smooth candidate and client experience
- Maintain accurate records and track interview activity
Executive Assistant Support (Approx. 25%)
- Provide EA support to the Managing Director, including diary management and meeting preparation
- Assist with inbox management, prioritising emails and drafting responses where appropriate
- Support with ad hoc administrative tasks and projects as required
Skills & Experience
- Previous experience as a Team Assistant, PA, EA, or similar role—ideally within executive search, recruitment, or professional services
- Exceptional organisational skills and attention to detail
- Confident managing multiple diaries and priorities in a fast-paced environment
- Strong written and verbal communication skills
- Professional, discreet with a client-focused approach
- High level of proficiency in Microsoft Outlook and other scheduling tools
