A high-performing Executive Search firm are actively seeking an organised and proactive Team Assistant to support their consultants and Managing Director. This is a varied and fast-paced role, with a strong focus on diary management and interview coordination, alongside Executive Assistant support at senior level.

Key Responsibilities

  • Manage complex diaries for consultants, scheduling interviews and meetings across multiple time zones
  • Coordinate interview logistics, including calendar management, video links, and room bookings
  • Send professional email confirmations and follow-ups to candidates and clients
  • Act as a key point of contact for scheduling queries, ensuring a smooth candidate and client experience
  • Maintain accurate records and track interview activity

Executive Assistant Support (Approx. 25%)

  • Provide EA support to the Managing Director, including diary management and meeting preparation
  • Assist with inbox management, prioritising emails and drafting responses where appropriate
  • Support with ad hoc administrative tasks and projects as required

Skills & Experience

  • Previous experience as a Team Assistant, PA, EA, or similar role—ideally within executive search, recruitment, or professional services
  • Exceptional organisational skills and attention to detail
  • Confident managing multiple diaries and priorities in a fast-paced environment
  • Strong written and verbal communication skills
  • Professional, discreet with a client-focused approach
  • High level of proficiency in Microsoft Outlook and other scheduling tools
