We are seeking an experienced and highly capable senior operations professional to take ownership of the operational infrastructure supporting a fast-paced and growing global investment business.

This is a broad and highly visible leadership role, combining business administration, workplace operations, facilities, people management, vendor management, budgeting, compliance, security and executive support.

The successful individual will be responsible for ensuring the organisation's offices operate seamlessly, efficiently and to the highest professional standards, while continually improving the employee, client and visitor experience.

Key Responsibilities Workplace & Business Operations• Oversee day-to-day business administration and workplace operations.• Manage reception, switchboard, mail, couriers, travel, catering, events, meeting rooms and office supplies.• Maintain consistently high standards across all aspects of the workplace.

  • Lead and develop reception, security, cleaning, maintenance and workplace support teams.• Oversee recruitment, training, scheduling and performance management.• Create a culture of accountability, professionalism and exceptional service.
  • Facilities & Workplace Management
  • Take overall responsibility for the physical workplace environment.• Oversee maintenance, desk moves, fit-outs, access control, security and building services.• Lead workplace projects and improvements while minimising disruption to the business.
  • Health, Safety & Compliance
  • Ensure compliance with relevant Health & Safety, fire, legal and regulatory requirements.• Manage First Aider and Fire Warden arrangements.• Ensure appropriate contractor documentation, NDAs and operational controls are maintained.
  • Supplier & Contract Management
  • Build and maintain strong relationships with landlords, suppliers, contractors and service providers.• Negotiate contracts, manage service levels and oversee renewals.• Drive commercial value while maintaining exceptional standards.
  • Financial & Budget Management
  • Prepare and monitor operational and workplace budgets.• Manage expenditure and capital projects.• Identify opportunities to improve efficiency, reduce costs and enhance processes.
  • Senior Leadership Support
  • Provide regular operational and management reporting.• Work closely with senior stakeholders on workplace strategy, projects and business improvements.• Act as a trusted adviser on operational and workplace matters.
  • Business Continuity & Security
  • Support business continuity and disaster recovery planning.• Maintain robust procedures to protect employees, visitors, assets and premises.• Work closely with relevant security and building management partners.
  • Employee & Visitor Experience
  • Oversee new joiner and leaver processes.• Manage visitors, client hosting, events, corporate gifts and the wider workplace experience.• Ensure the workplace consistently reflects a premium, professional and high-performance culture.
  • Process Improvement
  • Develop and maintain operational policies, procedures and manuals.• Ensure internal workplace information remains accurate and accessible.• Continuously identify opportunities to improve workflows, controls and communication.

We are looking for someone with:• Extensive experience in workplace operations, business administration, facilities or corporate services.• Proven leadership experience within a complex, high-performance corporate environment.• Experience managing people, suppliers, contractors and significant budgets.• Strong commercial awareness and a proven ability to deliver efficiencies without compromising quality.• Excellent knowledge of facilities, health & safety, security, compliance and business continuity.• Exceptional organisational skills and the ability to manage multiple priorities effectively.• The confidence, credibility and gravitas to work closely with senior executives.• A proactive, hands-on and solutions-focused approach.• Exceptional attention to detail and consistently high standards.• Degree educated.
