Job Overview
To support the Stock Control Systems Manager – Theatres in delivering effective stock control systems, procurement support and supply chain processes across Theatres and Clinical Support Services.
Provide operational support for work plans across the Health Board, working closely with clinical teams, user departments and procurement colleagues to promote early procurement input into service planning and delivery.
Contributes to the provision of a professional procurement and stock control service, supporting service plans, system optimisation, product standardisation, cost improvement and service development across the division.
Work closely with directorates and services to support changes in product choice, prioritise improvement activity, and contribute to savings delivery, process improvement, and value for money while maintaining responsiveness to clinical need.
Deputise for the Stock Control Systems Manager – Theatres in their absence for defined operational, systems and stock control responsibilities, escalating strategic, contractual or high‑risk matters appropriately.
Work collaboratively with colleagues across the Division and Procurement function to support consistent approaches to service improvement, problem‑solving and delivery of agreed targets.
Main duties of the job
- Supports allocated procurement and stock control systems work for Clinical Support Services, including planning and monitoring projects across the division and providing advice and support to colleagues where required.
- Supports the Stock Control Systems Manager to gather and analyse data on products, suppliers, stock usage and expenditure to support reporting, savings opportunities and service improvement plans.
- Supports monitoring of procurement savings plans and contributes to progress reporting through the Stock Control Systems Manager.
- Responsible for the day‑to‑day Omnicell and Supply X administration, user support, system issue escalation and monitoring of data integrity.
- Responsible for the day‑to‑day management of stock control clerks across a range of directorates, including coordinating rotas, undertaking PADRs and delivering training on procurement and stock control processes.
- Supports development activity to improve professional expertise within the team and ensure services remain responsive, flexible and cost effective.

Qualifications and Knowledge
Essential criteria
- Relevant degree or equivalent experience in procurement, supply chain, business administration or a related field
- Working knowledge of procurement and supply chain processes, stock control systems and service improvement principles
- Knowledge of theatre stock control processes and an understanding of the operational challenges within a theatre environment
- Awareness of procurement procedures, governance and compliance requirements relevant to the role
Desirable criteria
- Awareness of NHS procurement procedures and Health Board working practices.
- Awareness of quality standards, benchmarking and performance measurement approaches
- Awareness of NHS and government policies relevant to procurement and service delivery.
Experience
Essential criteria
- Experience of procurement and supply chain processes
- Working knowledge of procurement and supply chain processes within a theatre environment
- Experience of stock control systems and management, including Omnicell and SupplyX system administration.
- Experience of supporting project planning and meeting deadlines, including contributing to costings and purchasing activity in line with agreed revenue and capital projects
- Experience of people management and day‑to‑day staff supervision.
Desirable criteria
- Experience of working in a theatre environment and with theatre staff in a procurement role
- Knowledge of e‑business systems
- Awareness of category management and business planning principles

- Excellent written and verbal communication skills, with the ability to present ideas clearly and effectively
- IT proficiency, particularly in the use of word processing, spreadsheets, databases, and web‑based research tools
