Job Overview
Executive Assistant & Business Support Officer within the Medical Director's Office, providing comprehensive executive support, coordinating projects, and supporting service improvement initiatives across the Medical Directorate.
Main duties of the job
- Provide comprehensive executive and administrative support to the Medical Director.
- Manage a complex diary, prioritising competing commitments.
- Act as a key point of contact for the Medical Director's Office, liaising with Executive Directors, senior clinicians, managers, Welsh Government officials, patients and external stakeholders.
- Coordinate and service senior-level meetings, committees, workshops and events, including preparation of agendas, papers, minutes and action logs.
- Support projects, programmes and service improvement initiatives across the Medical Directorate.
- Prepare reports, presentations, briefing papers and correspondence on behalf of the Medical Director and senior leadership team.
- Monitor and track actions arising from meetings, projects and executive decisions.
- Support governance processes including medical revalidation, consultant performance matters and other Medical Directorate activities.
- Develop and maintain effective records management, filing and Share Point systems.
- Assist with procurement, invoice processing, expenses and other business administration functions.
- Handle sensitive and confidential information with discretion and professionalism.

The salary scale for a Band 3 has been adjusted as part of the NHS Agenda for Change pay award for 2026/2027 and will be implemented in August 2026 backdated to 01 April 2026 where applicable.
