Fixed Term Contract: 3-4 Weeks

Location: 12 sites across the Doncaster region (travel required)

Hours: 8am – 4pm with 30 mins unpaid for lunch

Pay rate: Β£20 - Β£25p/h

About the Role

Our client has been appointed as the preferred provider of Hard Facilities Management and Statutory Compliance Services for Exceed Learning Partnership (ELP), a Multi-Academy Trust comprising 12 sites across the Doncaster region. As part of their mobilisation programme, they are conducting a comprehensive physical asset verification survey across all 12 sites during the summer holiday period. They are seeking an experienced and motivated Asset Verification Technician to join the mobilisation team on a fixed-term basis. This is a hands-on, site-based role that forms the foundation of the Trust's compliance programme. The quality of work completed during this period directly determines the accuracy of the Trust-wide Asset Register and the compliance calendar that will govern all planned preventative maintenance activity from September 2026 onwards.

Key Responsibilities

  • Site Surveys & Asset Identification
    • Conduct systematic physical surveys of all 12 ELP sites during the summer holiday period, working to a defined programme agreed with the Operations Manager.
    • Identify, locate, and record all mechanical and electrical assets within scope β€” including heating plant, boilers, air conditioning and ventilation systems, emergency lighting, fire alarm systems, electrical distribution equipment, water systems, lift installations, and all other assets relevant to the statutory compliance programme.
    • Work to a standardised asset verification checklist covering all asset categories, ensuring every item is recorded consistently and completely across all sites.
    • Identify discrepancies between existing asset records or documentation provided and physical assets found on site, and report these promptly.
  • Asset Data Entry β€” Joblogic CAFM
    • Record all asset data directly into the Joblogic CAFM system using the Joblogic mobile application at the point of survey, ensuring the asset register is populated in real time.
    • Accurately input asset details including asset type, manufacturer, model, serial number, installation date, location within the building, condition, and compliance notes.
    • Capture and upload photographic evidence for each asset at the point of inspection, ensuring photographs are clear, correctly labelled, and attached to the correct asset record within Joblogic.
  • SFG20 Alignment
    • Map each identified asset against the relevant SFG20 maintenance standard, confirming the applicable maintenance regime, task frequencies, and compliance category for each asset type.
    • Assign the correct SFG20 service schedule to each asset record within Joblogic to ensure the PPM calendar reflects the correct maintenance obligations from day one.
  • Compliance Documentation Review
    • Where existing compliance certificates, service records, or maintenance documentation is available on site, cross-reference against the physical asset survey to verify accuracy and identify any gaps.
    • Record the current compliance status of each asset β€” whether certificates are current, expired, or absent β€” within Joblogic against the relevant asset record.
    • Escalate any safety-critical compliance gaps identified during the survey within the same working day.
  • Site Reporting
    • Complete a site-level survey summary report for each academy upon completion of the survey visit, detailing assets surveyed, discrepancies identified, compliance gaps flagged, and any access issues.
    • Submit the site report within two working days of completing each site survey.
  • Safeguarding & Site Protocols
    • Before commencing any survey activity at each site, sign in at reception, present photo ID, and read and sign the site Asbestos Register for the specific work areas to be surveyed.
    • Adhere strictly to all site-specific health and safety requirements, permit-to-work systems, and any access restrictions in place at individual academies.

Person Specification

  • Essential Requirements
    • Minimum two years' experience in a building services, mechanical and electrical maintenance, facilities management, or similar technical environment.
    • Working knowledge of building services assets including heating systems, electrical distribution, emergency lighting, fire alarm systems, air conditioning, and water systems.
    • Ability to identify, describe, and record building services assets accurately and consistently.
    • Competent in the use of mobile applications and digital data entry tools β€” experience of CAFM systems desirable but full training on Joblogic will be provided.
    • Familiarity with SFG20 maintenance standards.
    • Methodical, thorough approach to work with strong attention to detail β€” the accuracy of data recorded in this role has a direct impact on the Trust's statutory compliance position.
    • Excellent time management and ability to work independently across multiple sites to a defined programme.
    • Full UK driving licence and access to own vehicle β€” mileage reimbursed at HMRC approved rate.
  • Desirable Requirements
    • Previous experience of asset surveys or PPM mobilisation in an education, healthcare, or similarly regulated environment.
    • Working knowledge of Joblogic or another CAFM platform.
    • Familiarity with statutory compliance frameworks including ACOP L8, BS 5839, BS 5266, Electricity at Work Regulations, Gas Safety Regulations, and Control of Asbestos Regulations.

Working Arrangements

The role is entirely site-based across the 12 ELP academies within the Doncaster region. A structured site survey programme will be agreed prior to the start of the contract, with sites allocated on a day-by-day basis. The majority of survey work will be conducted during the school summer holiday period when sites are unoccupied, providing unhindered access to plant rooms, roof spaces, and all areas of each building. The postholder will be provided with access to the Joblogic mobile application, a standardised asset verification checklist, site contact details, and any existing compliance documentation available for each site prior to the start of each survey visit. A high-visibility vest and ID badge will be provided before the first site visit.
