Vivid Capital is a boutique private wealth management and investment firm based in London. We work with a select group of high-net-worth individuals and families, helping them manage their wealth through carefully considered private investments and specialist funds.

We're looking for an exceptional Executive Assistant to support our partners across both the operational and investment sides of the business. This is a varied role suited to someone who enjoys working in a fast-paced, high-trust environment where organisation and initiative are highly valued.

Key Responsibilities

  • Manage the calendars, travel and meeting schedules of the firm's partners.
  • Coordinate meetings with clients, founders, advisers and investment partners.
  • Prepare presentations, meeting packs, briefs and investment documentation.
  • Assist with investor communications and correspondence.
  • Organise board meetings and maintain accurate records and action points.
  • Support fundraising processes and transaction administration.
  • Liaise with lawyers, accountants, trustees and external service providers.
  • Monitor priorities across multiple projects and ensure deadlines are met.
  • Handle confidential information with absolute discretion.
  • Help improve internal processes and administrative systems as the firm grows.
  • Assist with office operations and occasional event coordination.

About You

You will be highly organised and naturally proactive. You should be someone who enjoys creating order, anticipates what's needed before being asked and takes pride in delivering work to a consistently high standard.

We're looking for someone who has:

  • Previous experience as an Executive Assistant, Personal Assistant or Office Manager, ideally within finance, investment, professional services or a family office.
  • Excellent organisational and time management skills.
  • Outstanding written and verbal communication.
  • Strong attention to detail.
  • The ability to manage multiple priorities simultaneously.
  • A calm, professional approach under pressure.
  • High levels of discretion and integrity.
  • Confidence using Microsoft Office, Outlook, Excel, PowerPoint and modern productivity tools.
  • A proactive mindset and willingness to take ownership of responsibilities.

Desirable Experience

Experience in one or more of the following would be advantageous:

  • Private equity, venture capital or wealth management.
  • Family office or private client environments.
  • Investor relations or fundraising support.
