Role: Tenancy & Property Maintenance Progression Administrator

Hours: Part-Time (16–20 hours per week)

Contract: Temporary (3 months), with a clear pathway to Permanent and potentially Full-Time for the right candidate

This is a critical operational role, supporting the full lifecycle of a tenancy — from initial enquiry through to ongoing management and maintenance coordination. You will operate within a highly systemised environment, utilising CRM platforms, maintenance software (Fixflo), and digital workflows to ensure consistency, compliance, and service excellence.

Key Responsibilities

Administrative & Operational Support

  • Maintain accurate digital records across CRM systems
  • Manage inbound calls and emails, booking appointments via Calendly
  • Coordinate viewings, inspections, and tenancy milestones

Tenant & Landlord Liaison

  • Act as a key point of contact for tenants
  • Support applicants through the onboarding journey
  • Keep landlords informed with clear, structured updates

Property Marketing & Lettings Support

  • Assist in listing properties across digital platforms
  • Monitor enquiry levels and viewing feedback
  • Ensure all marketing remains accurate and up to date

Compliance & Documentation

  • Monitor and manage safety certification (Gas, EPC, EICR)
  • Ensure adherence to lettings legislation and internal compliance standards
  • Audit records against licensing and regulatory requirements

Repairs & Maintenance Progression

  • Support the management of maintenance through Fixflo
  • Liaise with tenants and contractors to coordinate works
  • Track job progress, quotations, and completion evidence
  • Assist in contractor onboarding and compliance checks

Tenancy Sustainment & Rent Management

  • Support rent collection processes in line with company policy
  • Communicate with tenants regarding missed payments
  • Assist in setting up payment plans and standing orders
  • Contribute to tenancy sustainment and retention

  • Previous experience within property or administration (desirable)
  • Strong organisational and multitasking ability

Salary & Benefits (Full-Time Equivalent)

Basic Salary: £25,000 FTE

Bonus Structure:

  • £100 per new Let with AMRP instruction (Target: 1 per month)
  • £150 per new Sell with AMRP instruction (Target: 1 per month)
  • Total Monthly Bonus Target: £250

On Target Earnings: £28,000 FTE
