The Role: We have a vacancy within our busy Rural and Commercial Property teams for an experienced Administrator/ Legal PA based in our Edinburgh office. The role will include providing direct support primarily to Edinburgh based partners and fee earners, but also to other departments/offices, and you will be integrated into the existing support team to provide consistent, high‑level administrative/PA support. You will also be part of the firm‑wide legal support team for guidance. There is a preference for the role to be fully office based.

The role will suit someone who picks up things quickly, is proactive, and uses initiative by anticipating the needs of partners and fee earners, thereby reducing their administrative tasks. With particular focus on accurate document production and strong administrative support, you will be a vital team member. Training will be provided on an ongoing basis to enhance your skills. Legal experience within a property‑based team (residential, commercial or rural) would be preferred, however the ability to learn quickly and a positive approach is just as important.

Tasks which you may be responsible for:

  • Typing from digital dictation and preparing varied and accurate correspondence for the partners and fee earners
  • Accurate completion of varied property documentation in accordance with partner and fee‑earner instructions and team templates
  • Accurately saving correspondence and documents to our document management system (I‑Manage)
  • Using PDF Docs to collate electronic documents; experience of dataroom management and using Docusign is an advantage but not essential
  • Responding to incoming calls, emails and correspondence and forwarding to the appropriate partner or fee‑earner
  • General administrative duties including mail distribution, scanning, printing, archiving; supporting meetings including arranging catering and IT assistance when needed and booking travel and accommodation
  • Assisting partners and fee earners with ad‑hoc administration as required such as form filling
  • Onboarding new clients and opening new matters (including assisting with anti‑money‑laundering checks, conflict checks and production of letters of engagement) in accordance with the processes set out by the teams
  • Assisting with producing accurate invoices and supporting client financial reports (if applicable)
  • Uploading invoices to Aderant Expert Assistant for processing and processing expenses and credit card statements
  • Instructing transfers / payments by Cashroom with partner or fee‑earner oversight
  • Liaising with Head of Legal Support to assist allocation of work across the teams and wider legal support team

You will be expected to:

  • Use all relevant Microsoft packages competently including I‑Manage and Aderant (training will be provided) and keep updating your skills by attending mandatory and other training
  • Have a high level of team engagement – in person and via Teams/email/phone with partners and fee earners
  • Produce all work to an accurate standard within designated timescales
  • Carry out a significant workload and tasks with minimal supervision
  • Confidently delegate tasks to Central Administration and others
  • Take responsibility for department administration and projects
  • Assist other legal support team colleagues with high‑priority jobs; provide cover during holidays and other absences
  • Develop your client relationship and client‑care skills

What you will need to succeed:

  • Admin/PA experience within a fast‑paced, busy office environment; experience in a property‑based team (residential, commercial or rural) would be preferred but is not essential
  • A well‑organised, methodical and pro‑active approach to work and an ability to prioritise your workload to meet deadlines
  • Excellent IT skills including technical proficiency in:
    • Word – document production and formatting
    • I‑Manage – document management (training will be provided)
    • Aderant – finance (training will be provided)
    • Excel – confidence working with figures is desirable
  • Good communication and interpersonal skills with the ability to liaise at all levels
  • Accuracy in all aspects of your work ensuring all is to a high standard with an eye for detail
  • Commitment, flexibility and a willingness to assist other teams
  • A “can do” attitude and keen to learn new skills and quickly implement them
  • An ability to take instructions and feedback from other PAs and from partners and fee earners in a positive, constructive manner and to learn from your peers.
