Anderson Knight is recruiting a Legal EA for our clients based in Glasgow. You will work collaboratively as part of a team, providing executive assistant and administrative support to the personal team and the wider Personal and Family practice area. This role is key to ensuring we deliver an efficient, high-quality service to the client’s external clients.
Key Responsibilities:
- Manage diaries, meetings, travel, and related logistics, ensuring all materials, papers, and itineraries are prepared in advance.
- Handle new client queries, maintaining accurate background details and ensuring a professional first point of contact.
- Proactively manage emails, correspondence, and mail — prioritising, filing to DMS, and ensuring timely action or delegation.
- Maintain case and document management systems, including data input, file organisation, and adherence to “less paper” practices.
- Support lawyers and paralegals during absences by monitoring communications, handling urgent matters, and maintaining workflow continuity.
- Assist with billing, expenses, invoice processing, and financial administration in line with internal procedures and deadlines.
- Draft and proofread correspondence, letters of engagement, and legal documents, ensuring quality, consistency, and accuracy.
- Coordinate internal communication and knowledge sharing, keeping contact lists, databases, and templates updated and accessible.
- Undertake specialist administrative duties such as finance, marketing, and business development support as required.
- Provide general administrative support to the team, including minute-taking, rota cover, and ad hoc tasks under lawyer direction.
- Responsible for ensuring all BigHand and non-BigHand work is complete within required timescales for lawyers and paralegals
- Liaise with legal document specialist to ensure the completion of all BigHand dictation and documents within the required timescales assisting where necessary
Skills and Requirements:
- Experienced in supporting a busy Personal and Family law team, with strong understanding of its workflows and client needs.
- Calm under pressure, able to manage competing priorities and meet tight deadlines with accuracy and professionalism.
- Exceptional communication and interpersonal skills, confident liaising with clients, colleagues, and external contacts at all levels.
- A collaborative team player, willing to assist others and adapt to shifting team requirements and workloads.
- Professional and client-focused demeanour, consistently representing the firm’s values and standards.
- Proactive and solutions-oriented, always seeking ways to improve efficiency and service delivery for lawyers and paralegals.
- Flexible and adaptable, open to varying working hours, evolving team structures, and cross-training across practice areas.
- Highly organised and self-motivated, with the ability to prioritise effectively and work independently using sound judgment.
- Strong IT proficiency, including Microsoft Word (track changes/mail merge), Outlook, Excel, and PowerPoint; willing to develop further digital skills.
- Familiarity with Aderant, DMS, and BigHand systems (preferred), with excellent attention to detail in document production and formatting.
