Anderson Knight is recruiting a highly organised and proactive Business Support Executive to join our client on a 12-month fixed term contract. This is a pivotal role that sits at the heart of the organisation, combining Business Support, Executive PA, and Assistant Company Secretary responsibilities. You will work closely with the CEO, COO and CFO, providing high-level executive support while also playing a key role in governance, board administration and the smooth day-to-day running of the business.
Location: Glasgow West End (Hybrid β 1 day per week office-based)
Hours: 8:00am β 4:00pm
Salary: Β£40,000βΒ£45,000
Start Date: May 2026
The Role
This is a varied and fast-paced position where no two days are the same. You will be a trusted point of contact for senior leaders, supporting strategic activity while ensuring operational and governance processes run efficiently.
Key Responsibilities
- Act as a first point of contact, managing correspondence and phone calls
- Proactively manage and coordinate diaries for the CEO/COO/CFO, arranging internal and external meetings and preparing briefing papers
- Plan and organise travel and accommodation
- Provide full PA support including drafting correspondence, minute-taking, message handling and general administrative tasks
- Support Board of Director meetings, ensuring meetings are properly arranged and serviced
- Assist the CEO/CFO in keeping the Board informed and supporting director training and induction
- Service Senior Management Team meetings, including agenda preparation, collation of papers, minute-taking and action tracking
- Plan and manage key organisational events such as UK Management Meetings, Group Forums and staff events
- Produce the annual shareholder newsletter
- Update content across Group websites
- Liaise with the landlord regarding maintenance, emergency repairs and external contractors
- Monitor office supplies and equipment maintenance
Company Secretarial Support
- Maintain statutory records, structure charts and registers for UK entities
- Prepare and file annual reports and confirmation statements
- Support the organisation of AGMs and general meetings, including notices and documentation
- Provide administrative support for board and committee meetings, including board packs, draft minutes and action logs
- Prepare and submit filings to Companies House and other regulators
- Assist with governance and company secretarial projects such as M&A activity, share capital changes and governance reviews
- Manage dividend administration
- Support subsidiary governance and entity management
- Undertake additional duties as required to support the Chief Executive
- Handle all matters with complete discretion and a high level of confidentiality
About You
- Highly organised with excellent attention to detail and a strong communicator with excellent written skills
- Experienced in senior-level executive or business support roles
- Comfortable working with board-level stakeholders
- Knowledgeable in company secretarial or governance processes (or keen to develop in this area)
- Able to manage multiple priorities and work proactively
- Professional, discreet and trustworthy
