About the practice
A well-established small to medium-sized architecture firm based in South West London is looking for a Practice Administrator to join the team.
This role will be the first point of contact and the face of the office, including welcoming clients and handling initial enquiries in a friendly, professional manner. It is a varied role, supporting a team of architects. You will play an important part in the day-to-day responsibilities of the team, working closely with colleagues to ensure efficiency across the office.
Main responsibilities

Answer and monitor calls, forwarding them to the relevant person as required and take accurate messages

Welcome guests, show them to the meeting room and offer refreshments on arrival

Keep the reception desk tidy at all times

Receive, sort and scan incoming post for the team

Manage and forward emails that come into the general inbox

Assist teams with administration duties, such as copying, filing, printing, and similar tasks

Document control within the Document Management System

Process expenses and team purchases, including courses and training

Arrange and facilitate professional development programmes and events run by the company

Order stationery and office supplies in line with budget

Ensure meeting rooms are clean and ready for clients and visitors with tables clear, water refreshed, glasses clean, and similar preparations

Arrange office maintenance as required

Assist with information technology issues and liaise with external support providers

Maintain and update the office website and social media platforms such as Twitter and LinkedIn

Arrange and facilitate office socials

Handle confidential matters with discretion

Undertake any other duties as required for the smooth running of the office
