Overview
Office Manager and Registrar — Prep School in Kensington. 28K, with full pay throughout holidays - circa 3 months. Job Specification: Office Manager and Deputy Registrar. Reports to: Registrar (and Headmaster as required).
Role Overview: Provide efficient day-to-day office management and deputy registrar support to ensure smooth school operations, parent/staff liaison, and accurate record keeping.
Responsibilities
- Administration & Operations: Handle parent enquiries (phone, email, in-person). Manage attendance registers and monthly reports. Produce weekly newsletter. Order stationery, supplies, and club items. Maintain pupil files and archiving. Book coaches and transport for trips. Liaise with catering on menus and dietary needs. Oversee compliance/maintenance issues. Coordinate all school photography and end-of-term gifts.
- Medical: First point of contact for unwell pupils, providing First Aid and logging incidents. Maintain medical lists, folders, and staff-room medical bags. Arrange annual flu vaccinations.
- Reports & Data: Prepare and distribute half-term and end-of-term reports. Manage address lists and update iSAMS with pupil data (contact details, medical info, leavers’ destinations, photos).
- Forms & Lists: Distribute and process medical, trip, consent, and lunch forms. Maintain staff lists, birthday lists, and termly Fire Drill lists.
- Finance Support: Prepare invoices, end-of-term billing spreadsheets, and follow up Bursar queries. Update pupil address changes.
- IT & Communications: Update school website and Instagram. Manage Outlook distribution lists and iSAMS termly data.
- Events & Miscellaneous: Organise Open Days. Produce School and Prep Diaries each term. Liaise with contractors for cleaning and maintenance.
This is a proactive, organised role requiring strong administrative, communication, and IT skills in a school environment.
