A successful investment firm based in the West End is looking for a fantastic Team Assistant to join the team on a 9-month fixed-term contract, covering maternity leave from early October. This is a busy and varied role, working in a fast-paced and dynamic environment.
The successful candidate must be available immediatelyand able to work in the office 5-days a week.
Responsibilities
- Coordinating UK and international travel arrangements forteam of 6-9, working closely with travel providers to manage bookings.
- Providing comprehensive diary management, scheduling meetings, arranging site visits and coordinating lunches/dinners.
- Preparing and submitting team expenses.
- Handling documents, coordinating signatures and liaising with external parties as required.
- Liaising with suppliers and managing the ordering of stationery, business cards and general office supplies.
- Coordinating refreshments and catering for the office and meetings.
- Ensuring meeting rooms are fully stocked, prepared and presented to a high standard.
- Preparing meeting materials, presentation packs and supporting with video conferencing and meeting room set-up.
- Meeting and greeting visitors and ensuring they are directed to the appropriate meeting room.
- Answering the main telephone line and providing general administrative support as required.
- Liaising with the IT team, raising support requests, assisting with troubleshooting and managing office IT equipment.
- Working with building management and external contractors to coordinate maintenance and facilities-related issues.
Requirements
- Previous experience in a busy Team Assistant or similar administrative role is essential, preferably within a financialservices environment.
- Excellent communication, organisational and interpersonal skills.
- Strong attention to detail with a positive, enthusiastic and proactive approach.
- Ability to prioritise and manage multiple tasks effectively.
- Good computer skills, including Microsoft Office, Word, Excel and Outlook.
Salary Β£45,000-Β£50,000 DOE
