We are looking for an experienced, highly organised administrator for an immediate, fast-paced role based in Central London. This is a demanding environment that calls for someone who thrives under pressure and can pivot quickly.
Corporate experience is essential, with a minimum of 10 years in a PA, EA, or senior administrative role. This is a large private house and while previous experience in a formal household setting isn't essential, candidates must come from a corporate background and must understand protocol without fuss, working well with the wider team. Familiarity with shifting priorities and long-term project management is essential, alongside a genuinely proactive approach to efficiency.
Key ResponsibilitiesThe post holder will support two busy Global Coordinators, so the workload will be varied and constantly evolving. Projects are likely to include but are not limited to:
- Ongoing admin-heavy projects such as online filing and database management
- Auditing records - checking formatting, sourcing and verifying information, locating missing details and updating notes and professional titles to reflect current status
- Printing and preparing documents for meetings to ensure timely review
- Researching and sourcing training for the team, particularly around AI platforms and productivity tools
- Setting up auto-filing rules in Microsoft Outlook for incoming emails, with the judgement to ensure only the right emails are filed
- Managing mail merges for press releases, event invitations and similar distributions
- Cross-checking calendars across the board - electronic and paper for consistency, with the attention to detail needed to avoid time zone mismatches when scheduling internationally
Essential experience: Minimum 10 years' experience in a PA, EA, or senior administrative role, with a corporate background, gained in a high-pressure environment.
Software mastery: Expert-level Microsoft Office skills, particularly Excel and Word, with advanced Outlook expertise.
Speed & accuracy: Fast, accurate note-taking, quickly turned into polished, professional documents.
A keen eye for detail: Confidence checking documents, verifying entries and ensuring supporting materials are correctly maintained.
Resourcefulness: Comfortable with in-depth research; able to think laterally, find the seemingly unfindable, and stay tenacious.
Polished presentation: This is a formal working environment where business dress is worn at all times.
A calm, methodical manner, with absolute discretion.
Reliability: A self-starter who needs minimal supervision and can hit the ground running from day one.
Full-time presence required in the office.
