THE ROLE

We’re looking for a proactive and detail-oriented Senior Operations Assistant who thrives on bringing structure to fast-paced projects and operational workflows. In this key support role you will play a vital part in ensuring the smooth execution of key operational processes across Purchasing, Master Data Management, Artwork Coordination, and Systems Development. You will act as a central point of coordination between multiple teams, including Production, Logistics, Finance and Compliance managing purchase orders, stock replenishment, SKU creation, and artwork implementation.

KEY RESPONSIBILITIES

Reporting to Chief Operations Officer you will be responsible for the following:

Purchase Orders and Invoicing

+ Request and coordinate the ordering of Peel & Reveal label designs for new product development (NPD), ensuring all artwork updates are accurately reflected and seamlessly implemented onto product packaging in collaboration with the Logistics team

+ Responsible for tracking stock levels, creating SKU(Stock Keeping Unit) -codes and ordering replenishment of purchased-items (i.e. not manufactured in a co-packer): e.g. accessories (scoops, capsules cases, notebooks etc) and DTC (direct to consumer) in-box marketing materials (leaflets, postcards).

+ Create and issue delivery-notes for Purchase Orders raised by the Production Team.

+Investigate invoice discrepancies and make corrections with the Finance and Production teams.

Master Data Management

+ Lead the creation of SKUs with the Production team in Priority ERP (Enterprise Resource Planning) system.

+Maintain and updates Bills of Material (BOMs) in Priority ERP.

+ Generate new barcodes and ensure accurate implementation.

+Makes Commodity Code Applications (with input from Product / NPD / Quality Manager)

+ Maintains Material Cost and Vendor data for POs

Artwork Coordination

+ Coordinate the end-to-end artwork sign-off process in the correct products, formats and languages, ensuring timely reviews and approvals across all departments including Compliance, Quality, Nutrition, Brand, Production and Graphic Design.

+ Develop and maintain artwork templates for each product format and market, outlining key differences, including adaptation of copy with support from the Brand and Nutrition + Innovation team and implementation of changes driven by brand and compliance initiatives.

+ Design and implement a structured artwork management system to maintain version-control, , templates, and barcodes; aligned with our ERPsystem (Priority) for easy tracking and reference.

+ Coordinate with external translation providers to ensure accurate adaptation of content in line with requirements and ensure translated copy is correctly implemented across all relevant artworks and formats (e.g. Peel & Reveal, Germany, Spain etc.)

+ Provide clear briefs to Operations and Production teams for artwork transitions, including deadline management and coordination with broader product changes.

Systems & Process Development

+ Develop and implement cross-functional workflows using Notion (our online project management and collaboration platform) to involve all relevant departments for artwork-approval and other departmental process developments.

Team Support

+ Report KPIs (key performance indicators) and complete basic analysis for the Operations Team as required.

+ Manage mail for the Operations team, including sending and receipt of product samples with suppliers and between head-office and the warehouse.

+ Support the COO, Head of Planning and the Production Team with other administrative tasks as required.

+ Administer the Operations Team’s holiday plans and absence.
