As a Company Secretarial Assistant, you will play a crucial role in supporting the Group Company Secretary by providing professional and efficient Board, Committee, and governance administration services. Your responsibilities will include maintaining the calendar of Board and committee meetings, developing minute-taking skills, and providing administrative support for various governance activities and projects.
Responsibilities
- Maintaining the calendar of Board and committee meetings, taking the lead on planning dates for the coming year and rearranging dates as required.
- Supporting the Company Secretary Team members in providing efficient and effective meeting administration, for example producing meeting packs and maintaining action logs.
- Developing minute-taking skills, in due course, taking responsibility for taking minutes of one of the operational committees.
- Supporting the Assistant Company Secretary in maintaining the seal register and ensuring accurate execution of documents in accordance with standing orders and delegated authorities.
- Providing administration support for governance activities, such as the production of the annual report and accounts and Board member induction and development.
- Responding to governance queries and requests from board members and executives, demonstrating a proactive and customer-focused approach.
Qualifications
- Degree or further education relating to business/administration.
- Excellent administration and organisation skills and experience, including diary management, meeting scheduling and logistics.
- Experience of working in a governance or company secretariat team is advantageous but not essential.
- Customer focus and service delivery to a high standard.
- Attention to detail; adept at prioritising tasks and delivering to required deadlines.
- Ability to manage your time, identify priorities, and work to agreed deadlines.
