Join our team as a Contracts Specialist on a contract basis at Anasuria Operating Company Limited (AOC). AOC is seeking a highly motivated Contracts Specialist to join our team. AOC is a joint operating company established in 2015, focused on exploration, development, and production of oil and gas in the Anasuria Cluster. This role would suit an individual in the early stages of their contracts and commercial career, looking to progress from an administrative or assistant-level position.

Salary: £35,000 - £45,000 per annum depending on experience.

Overview

The primary responsibility of this role is to support the preparation, review, and administration of contracts and related documentation. This involves collaborating closely with internal stakeholders such as relevant Support Functions including Legal, Finance, and Operations, and occasionally the AOC Leadership Team, as well as external stakeholders such as suppliers and contractors. You will provide timely contractual administration and compliance support that aligns with business needs, all while minimising overall risk to the organisation.

Additionally, this position plays an important part in ensuring strict compliance with company policies, legal requirements, and procurement procedures. Maintaining accurate records and supporting internal stakeholders are crucial elements of the role, helping to foster transparency and accountability throughout the contract lifecycle.

Occasionally, the role will require providing holiday or sickness cover for the AOC Senior Buyer. This includes sourcing goods and services at market competitive costs and processing both Purchase and Service Orders using our ERP System (Maximo), ensuring business continuity and efficiency.

Role and Responsibilities:

  • Support with the drafting, reviewing and processing of Contract Variations & Amendments.
  • Support some contract negotiations by gathering required documentation and information.
  • Ensure commercial and contractual risk is considered in all supporting documentation and that the company is not exposed to undue contractual risk.
  • Monitor and maintain contract renewal dates ensuring full compliance.
  • Build relationships with external Third-Party Contractors.
  • Support Post Award Contract Management Compliance in terms of supporting Contract Owners in scheduling Business Performance Reviews (BPR’S) with Third Party Contractors, facilitating post award kick off meetings and ongoing BPR meetings, take and issue Minutes of Meetings as required and expedite any ongoing actions until close out.
  • SeQual Pre-Qualification Database Focal Point.
  • Create and distribute monthly contract management information pack for all contracts managed in SCM.
  • Creation of new Contract records and maintenance of existing Contract records in Maximo.
  • Managing and organising the Contracts & Procurement area on SharePoint, ensuring that copies of all contracts, variations/amendments, contract award documents etc are filed electronically.
  • Administering the Contracts & Procurement board on Monday.com, to track status and actions of C&P workstreams.
  • Ongoing Management and Close Out of Purchase and Service Order and Contract Database.
  • Resolve any Invoice Queries to aid timely payment.
  • Resolve any disputed invoices in conjunction with the AOC Finance and Technical Teams and Third-Party Contractors.
  • Management of onboarding of New Suppliers.
  • Ensure confidentiality and secure handling of all AOC sensitive documents.
  • When required, creation and issue of Purchase Orders and any Purchase Order Variations and updating the AOC Technical Teams of ongoing status.
  • Contribute to or lead PO negotiations.
  • Any additional Contract and Procurement Administration as required from time to time to fully support Senior Contract Specialist, Commercial Manager/AOC Leadership Team in accordance with ongoing business needs.
  • Full compliance with AOC Anti Bribery and Corruption (A.B.C.) Policy.

Working Relationships

Work collaboratively internally with Legal, Finance, Operations and AOC Leadership Team as required and externally with AOC Third-Party Contractors.

Education & Associations

Bachelor’s Degree Law/Business Management or equivalent experience.

Additional Requirements

  • 2 years relevant Oil and Gas industry experience preferably gained through working within an Operator or a contractor environment.
  • Preferable office-based experience in a Supply Chain Management function.
  • Basic understanding of contract terminology and procurement processes is preferred.
  • Proficiency in Microsoft Office Suite, especially Word and Excel (required).
  • Experience in the use of Maximo and SharePoint (preferred).
  • Strong organisational, planning and negotiation skills.
  • Strong attention to detail.
  • Self-motivated, with the ability to work under own initiative but also as part of a team.
  • Ability to prioritise and manage workload to meet business needs and working to tight deadlines.
  • Results oriented and commercially aware.
  • Good interpersonal and communication skills.
  • Always demonstrates professional behaviours, aligned with AOC Values.
