The Employee Benefits Executive is responsible for the end-to-end administration and servicing of group employee benefits (EB) insurance policies on behalf of the brokerage's corporate clients. This role spans policy documentation, premium billing, staff movement processing, claims coordination, and maintaining accurate records across both the insurer network and the firm's CRM system (HubSpot). The ideal candidate is detail-oriented, client-focused, and comfortable working across multiple stakeholders including clients, insurers, and internal teams.

Key Responsibilities

  • Policy Billing — Debit & Credit Notes
    • Issue debit notes to clients upon renewal of EB group policies, ensuring premium amounts are accurately computed and reconciled with insurer confirmation.
    • Process credit notes promptly following mid-term policy adjustments, including addition or deletion of insured staff members.
    • Track and follow up on outstanding debit/credit notes, coordinating with the finance team on collections and reconciliation.
  • Client Servicing — Claims & Admin Support
    • Serve as the primary point of contact for clients on all EB-related inquiries, including claims submissions, reimbursements, and pre-authorization requests.
    • Liaise with insurers on behalf of clients to resolve claim disputes, delays, or documentation issues, advocating for fair and timely settlements.
    • Assist clients in navigating EB digital tools (e.g., Members mobile apps, Insurer HR portal), providing guidance on usage and troubleshooting.
    • Escalate unresolved insurer issues to the EB Manager with a clear summary of steps taken and recommended next actions.
    • Pre-fill and follow up on onboarding and renewal documentation; track policy document and e-card issuance to ensure timely delivery.
  • CRM Update — HubSpot
    • Maintain and update client policy documents (policy certificates, schedules, endorsements, letters of appointment) within HubSpot, ensuring version control and accessibility.
    • Upload new business and renewal documentation and insurer correspondence in a timely manner, linking records to the correct client and policy objects in the CRM.
  • Staff Movement & Policy Documentation
    • Liaise with insurers to process member movements and maintain accurate, up-to-date census listings.
    • Maintain and manage policy documentation in an organized manner, ensuring accuracy and timely follow-up on endorsements.
    • Prepare client summary with insured headcount, coverage information, and outstanding changes.

Requirements

  • Education & Qualifications
    • Diploma or Degree in Business, Finance, Insurance, or a related discipline.
    • General Insurance certification (e.g., BCP, PGI, or equivalent) preferred; candidates willing to obtain certification will be considered.
  • Experience
    • 1–3 years of experience in insurance operations, employee benefits administration, or a similar client-servicing role.
    • Prior exposure to group health, life, or employee benefits products at an insurer or brokerage is an advantage.
  • Skills & Competencies
    • Proficiency in CRM systems; hands-on experience with HubSpot is strongly preferred.
    • Strong numerical literacy for billing reconciliation and premium computation.
    • Excellent written and verbal communication skills for client and insurer correspondence.
    • High attention to detail, with the ability to manage large volumes of data accurately.
    • Organized and self-driven, capable of managing multiple client accounts and deadlines simultaneously.
    • Proficient in Microsoft Office (Excel, Word, Outlook); familiarity with insurer EB portals is a plus.
