Hours: Monday–Friday, 07:00–16:00, 40 hours a week.

About the Role

Anabas is a dynamic National Facilities Management company focused on delivering exceptional workplace experiences for corporate office occupiers, their employees and customers. We are looking for an experienced Facilities Administrator to join our Workplace Services team and provide high-level administrative support across facilities coordination, compliance, contractor management, reporting, financial administration, records management and workplace services.

Reporting to the Senior Workplace Manager, you will play a key role in ensuring facilities systems, documentation and processes are maintained accurately and that service delivery consistently meets contractual, client and regulatory requirements.

What You'll Be Doing

  • Providing comprehensive administrative support to the Senior Workplace Manager and Workplace Services team.
  • Delivering a professional, customer-focused service to colleagues, clients, contractors and visitors.
  • Coordinating facilities-related activities, service requests and contractor attendance.
  • Logging, allocating and monitoring facilities requests, ensuring actions are followed up and completed.
  • Maintaining accurate records, trackers, databases, compliance documentation and action logs.
  • Supporting supplier and contractor management, including coordinating attendance and maintaining associated records.
  • Administering facilities management systems and producing operational reports.
  • Responding to facilities-related enquiries and escalating issues where appropriate.
  • Supporting compliance administration and ensuring documentation is maintained in line with client and regulatory requirements.
  • Working closely with internal teams and service partners to track actions and maintain high service standards.
  • Supporting workplace and Front of House activities during periods of absence or operational need.
  • Assisting with financial and general administration as required.

What We're Looking For

We are seeking an experienced administrator who is organised, proactive and customer-focused, with the ability to manage multiple priorities in a busy facilities environment. You should have:

  • Previous experience in an administrative role, ideally within Facilities Management, Workplace Services or a similar environment.
  • Excellent organisational and administrative skills.
  • Strong attention to detail and accuracy.
  • Good communication and customer service skills.
  • The ability to manage records, trackers and systems effectively.
  • The confidence to liaise with clients, contractors, suppliers and internal teams.
  • A proactive approach to resolving issues and following actions through to completion.

Important Requirement

You will be required to hold a current SIA licence or be able to successfully pass the required vetting checks to obtain an SIA licence.
