Anabas is a dynamic national facilities management company focused on supporting corporate office occupiers to create a great workplace experience for their staff and customers. We are seeking to employ an experienced Senior Front of House Receptionist to provide an exceptional client experience in Manchester. The position holder will have step-up responsibilities for the contract account manager, so some experience/background in Facilities Management will be beneficial. The role includes staff responsibilities, requiring the incumbent to motivate, manage, and coach staff reporting into them. This is a full-time, permanent position, working Monday to Friday, from 08:00 to 17:00 (40 hours per week). Training will be provided to enable you to carry out your role effectively.

Responsibilities:

  • Assist the account manager in day-to-day operations and act as their deputy during the account manager's absence.
  • Provide a professional and courteous welcome to all visitors, ensuring a positive first impression.
  • Proactively engage with occupiers and visitors, building and maintaining strong relationships with various stakeholders.
  • Manage room/event bookings, visitor management system, access control, etc.
  • Ensure accurate record-keeping and compliance with data protection policies.
  • Resolve escalated guest issues and complaints with professionalism while overseeing daily reception operations, ensuring all procedures are followed.
  • Build rapport through liaison with client meetings and agency office leads to understand expectations and requirements.
  • Manage client floor meeting room bookings and hospitality requests in line with required procedures.
  • Support and monitor the visitor management system, ensuring efficient operations and exceptional guest experiences.
  • Maintain a high standard of front-of-house service, identifying opportunities for improvement where appropriate.
  • Monitor requests to the reception and facilities e-mail address and resolve queries and requests efficiently.
  • Ensure visitor passes for events and client meetings are prepared correctly where required.
  • Work closely with other Anabas team members on site in a one-team approach to ensure seamless service to the client, fostering a β€œsee it, own it, fix it” mentality.
  • Internal liaison with helpdesk and events support to coordinate seamless operational efficiency and service delivery.
  • Deal with reasonable requests from the Anabas management team.
  • Act as fire marshal and assist with evacuations of the building.
  • SIA licence is desirable, but the licence will be required to be achieved during probation, which will involve attending a 7-day training course.
  • Act as the go-to contact for all floor occupants and visitors, supporting a safe, compliant, and welcoming office environment.
  • Build strong relationships with stakeholders and ensure compliance with health & safety and environmental standards.
  • Take reasonable care of your own health and safety and that of others, ensuring compliance with all health & safety procedures.
  • Work in line with the equality & diversity policy and report any incidents that are against the spirit of the policy.
  • Carry out all responsibilities using the Anabas values as the basis of day-to-day actions.
  • Support all company policies, ensuring full compliance with the procedures that accompany these.
  • Participate in staff appraisal and development opportunities, one-to-one performance discussions and attend identified training to ensure continuous learning and improvement.
