Key Responsibilities

  • Operational Leadership
    • Lead and manage Soft FM teams, including Reception, Cleaning, and Floor Captains.
    • Ensure on-site supervisors effectively manage their teams, with clear understanding of roles, responsibilities, and service standards.
    • Drive operational excellence across all service lines, ensuring high standards in performance, quality, safety, and compliance.
    • Develop and maintain site manuals to improve efficiency, effectiveness, and risk mitigation for employees and visitors.
    • Manage third-party suppliers, ensuring services are delivered in line with agreed standards and contractual expectations.
    • Conduct monthly internal housekeeping and safety audits, producing summary reports and action plans for key stakeholders.
    • Attend management meetings to identify operational priorities and business needs.
  • Client & Stakeholder Partnership
    • Work closely with the Facilities Team and L'Oréal business leaders to deliver a world-class workplace experience.
    • Act as a trusted advisor and subject matter expert, sharing industry best practices and thought leadership.
    • Build strong relationships with the PA community and internal stakeholders to gather feedback and continuously improve service delivery.
    • Create and manage a workplace feedback and engagement forum to enhance customer-focused FM services.
    • Produce bespoke monthly reports highlighting trends, performance insights, and true KPI analysis.
  • Strategic Development & Innovation
    • Develop business plans that enhance employee engagement, improve productivity, reduce cost, mitigate risk, and add measurable value.
    • Analyse data to identify opportunities for service enhancement, including implementation of new technologies to improve user experience.
    • Inspire and lead the Anabas team to consistently achieve high performance and embody company values.
  • Workplace Experience Focus
    • This role plays a key part in creating an inclusive, engaging, and supportive workplace environment through a three-strand approach:
    • Employee Engagement
      • Organise internal networking events to encourage cross-department collaboration.
      • Coordinate onboarding and early careers events to deepen business understanding.
      • Lead awareness initiatives such as Customer Service Week and Learning at Work Week.
    • Diversity & Inclusion
      • Arrange catering and engagement activities recognising religious and cultural celebrations.
      • Support awareness events including Deaf Awareness Week, Black History Month, and LGBTQIA+ initiatives.
      • Celebrate key recognition days such as Employee Appreciation Day, National Autism Acceptance initiatives, and World Managers Day.
    • Well-being
      • Build relationships to identify and remove workplace barriers from an FM perspective.
      • Support awareness and fundraising initiatives including Sober October, World Suicide Prevention Day, and Mental Health Awareness Week.
      • Organise on-site health checks aligned with campaigns such as World Heart Day, Stoptober, and Stress Awareness Month.

Skills & Experience

  • Previous experience in a customer-facing or client-facing environment.
  • Strong leadership capability with a warm, approachable, and professional manner.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and priorities under pressure.
  • A proactive, solutions-focused mindset with a strong can-do attitude.
  • Proficiency in Microsoft Office applications.
  • Flexibility to meet evolving business needs.

Additional Information

  • Salary: £33,000 for the first six months (effective 1 May 2024), increasing to £37,000 upon successful completion of probation.
  • Flexible working hours to meet business demands.
  • Occasional weekend work required to oversee events.
  • Minimum of one evening per week working beyond 7:00pm to support and consult with the cleaning operation.
  • Annual leave to be aligned with the Facilities Manager to ensure consistent on-site cover.
