- Job summary
This role provides administrative support to various teams and Heads of Department within Amundi (UK) Limited, including:
- Acting as a first point of contact and sharing workload responsibilities with other members of the Administration team.
- Supporting Heads of Department / Management team.
- Organising business trips: booking flights, hotels, taxis, and scheduling itineraries, and resolving sudden changes.
- Calculating, processing and controlling expense claims for approval.
- Protecting and ensuring the confidentiality of all information.
- Acting as a ‘gatekeeper’ for diaries, proactively avoiding clashes and finding resolutions.
- Preparing general correspondence, drafting responses, organising incoming and outgoing mail and courier services.
- Supporting team members as needed, handling overseas visitors’ agendas.
- Scheduling senior‑level meetings, preparing documents and taking meeting minutes.
- Providing admin/facilities support, liaising with the Paris office, printing and collating documentation.
- Organising ad‑hoc internal and external meetings and client events; creating promotional posters/material.
- Maintaining the London Branch Share Point (intranet).
- Providing reception & holiday cover, and admin annual leave coverage for the admin team.
- Updating attendance reports.
Experience & qualifications
- Self‑starter with a “can‑do” attitude, willing to adapt and take on challenges.
- Highly organised, excellent multi‑tasking, time‑management skills and a team player.
- Strong Microsoft Office skills (Outlook, Power Point, Excel).
- Ability to independently assess issues and initiate solutions.
