This role will provide high-level administrative support to senior stakeholders, ensuring seamless coordination across diaries, travel, and communications. You'll play a key role in enabling efficient day-to-day operations within a fast-paced, stakeholder-driven environment, with the added requirement of supporting Japanese-speaking stakeholders.
Responsibilities
- Manage complex and ever-changing diaries for senior stakeholders.
- Coordinate domestic and international travel arrangements.
- Oversee inbox management, prioritising and responding to emails where appropriate.
- Support multiple stakeholders simultaneously, balancing competing priorities.
- Build strong working relationships across internal and external networks.
- Ensure a high level of organisation, confidentiality, and professionalism at all times.
- Adapt quickly to changing demands within an on-demand support team.
Qualifications
- Fluency in Japanese and English, with the ability to support bilingual stakeholders.
- Proven experience supporting senior or C‑Suite stakeholders.
- Strong diary management and travel coordination experience.
- Excellent organisational and prioritisation skills in a fast-paced environment.
- Confident communication and stakeholder management abilities.
- Proactive mindset with the ability to work independently and make decisions.
- High levels of discretion, resilience, and professionalism.
- Experience using tools such as Excel and SharePoint is beneficial.
