Role Overview
We are seeking a highly organised and capable Administration Manager to oversee and coordinate the administrative and operational functions of our busy accountancy practice. This is a key position within the firm and is well suited to someone with experience in an accountancy practice or professional services environment. The successful candidate will be confident managing their own workload, coordinating administrative processes across the practice, and ensuring the smooth and efficient running of internal operations.
In this role, you will act as a central point of organisation for the team—tracking deadlines, managing client administration, and maintaining systems and processes to a consistently high standard.
Key Responsibilities
- Manage the day‑to‑day administrative and operational functions of the practice
- Act as the central coordination point for administrative workflows, deadlines, and internal processes
- Handle client communications and serve as the primary contact for incoming calls and emails
- Maintain and develop internal systems, trackers, and reporting spreadsheets
- Support the organisation of workloads and monitor key administrative deadlines across the practice
- Oversee Companies House administration, including the accurate and timely filing of Confirmation Statements
- Supervise the workflow of the Administrative Assistant, providing guidance and ensuring tasks are completed accurately and on time
- Manage HMRC registrations such as Self Assessment and support wider client compliance administration
- Support new client onboarding, including engagement documentation and setup processes
- Ensure all AML records are complete, accurate, and fully up to date
- Maintain accurate client records and ensure effective document management
- Assist with accounts payable and accounts receivable processes
- Identify opportunities to improve administrative processes and enhance operational efficiency
- Provide operational and organisational support to the directors and wider team as required
Experience & Skills Required
- Previous experience working within an accountancy practice or professional services environment
- Experience coordinating or managing administrative workflows within a practice setting
- Strong Microsoft Office skills, with particular proficiency in Excel and spreadsheet management
- Good understanding of Companies House and HMRC processes
- Experience using practice management software such as IRIS, Xero, BrightPay, or similar systems
- Excellent organisational and time‑management skills
- Ability to manage multiple priorities and deadlines effectively
- Proven capability to work independently and take ownership of tasks
- Strong communication skills and confidence when dealing with clients
- High level of accuracy, attention to detail, and strong administrative discipline
