A busy surveyors company situated in Southampton is looking for an experienced Residential Lettings Coordinator who will also take on some of the responsibilities of an Office Manager to support their growing team in a part time capacity. With at least a year's experience in the lettings property sector, and with solid administrative and coordination skills, you will be working front of house both by meeting and greeting clients that come into the office and being first point of call answering telephone calls and directing or taking messages in a professional manner.

Key Areas of the Lettings and Office role to include:

  • Handling a small residential property portfolio let on AST
  • Property Inspections
  • Ensure property portfolio meets all legislative and legal requirements
  • Maintain accurate records and keep up to date
  • Organise inventories, end of tenancy check outs and new lets with local agents
  • Liaise with contractors and organise property maintenance and repairs
  • Keep clients up to date on their properties
  • Provide Accounts with relevant information on new lets, rent increases and tenancy renewals
  • Register tenant deposits and handle end of tenancy deposit returns
  • Keep up to date with lettings legislation changes
  • Reception duties
  • Computer data entry using a CRM database
  • Client relationships
  • Monitor office supplies and order appropriately
  • Keep staff holiday records up to date
  • Post and general administration duties to support the team and company.

Key office requirements to include:

  • Smartly dressed and professional in appearance
  • Comfortable using Microsoft Office to include Excel, Word and Outlook
  • A good understanding of current lettings legislation and processes
  • Clean Driving Licence
  • Expert administration, written and verbal skills
  • Able to multi-task and manage time effectively

  • Able to deliver a high quality of work

This role offers a great level of variety in a part time role of 22.5 hours a week (days to be negotiated) and a basic salary in the region of £25k pro rata is available.
