Hello, we are Amphico, a London and Tokyo-based company with a growing transdisciplinary team of over 15 people composed of scientists, designers, engineers, and business operators. Our mission is to lead the textile industry towards a toxic-free future by developing and commercialising toxic-free, high-performance, and sustainable alternatives to conventional textile technologies.
Our lead products include:
- Amphitex: a circular, PFAS-free waterproof and breathable textile for outdoor and performance apparel.
- Amphicolor: a waterless colouration technology that significantly reduces the carbon footprint, water consumption, and pollution associated with textile dyeing.
Both technologies integrate advanced material science, automation, and AI to redefine how textiles are created and manufactured.
The Role & Who We Are Looking For
We are seeking a part-time Founder Associate (Contractor) to support Amphico’s CEO and CTO across operational and administrative activities covering accounting, finance, legal and day-to-day operation. This role is designed for someone who can take work off the CEO and CTO’s plate by taking ownership of a wide range of priorities from day one. It suits a professional who is confident handling confidential information, coordinating multiple workstreams, executing administrative tasks efficiently, and helping bring structure and clarity to day-to-day operations.
You will be required to wear multiple hats across all areas of business operation such as finance and budget management, people operations, office administration, legal & compliance, and fundraising operational support while ensuring processes remain compliant and efficient.
You will be the point of coordination between leadership, investors, accountants, legals and the wider team. Additionally, candidates with a track record of implementing automation tools or workflow systems (e.g. Notion automations, Zapier, Google Workspace scripts, or CRM automations) to automate and streamline business operations will be looked upon very favourably.
Key Responsibilities
A. Financial Coordination and Oversight
- Maintain and update quarterly budgets across UK and Japan, ensuring the company spend in line with the budget and early detection of overspend.
- Track cash flow and assist in financial forecasting, adapting plans as timelines or costs evolve.
- Work with the Company Accountant to oversee invoice, reimbursement, and payment processes (e.g., via Pleo), ensuring timely processing and accurate record-keeping.
- Support the preparation of financial documentation for investors, fundraising rounds, and grant submissions.
B. People Operations (HR Administration)
- Manage end-to-end on-boarding and off-boarding of employees and contractors, including contract preparation and system setup.
- Coordinate and execute recruitment logistics (posting job descriptions, coordinating interviews, updating candidate records).
- Prepare and maintain employment documentation (contracts, amendments, NDAs, confidentiality agreements) and ensure all documentation are correctly stored.
C. Office and Operational Management
- Oversee office organisation, cleanliness, and supplies to maintain a safe and productive workspace.
- Coordinate deliveries and logistics, ensuring smooth handling of materials and samples between locations.
- Identify opportunities to automate repetitive operational workflows (e.g., onboarding checklists, data entry, reporting dashboards) to save time and reduce errors.
D. Legal, Compliance, and Documentation Management
- Manage and update company documentation including NDAs, contracts, and investor or partner agreements.
- Coordinate legal reviews, collect signatures, and ensure all records are properly stored and easily retrievable.
E. Investor and Fundraising Support
- Maintain and update investor CRM records.
- Support the CEO in preparing fundraising materials, including financial forecasts, and key company metrics.
- Coordinate investor communication, ensuring timely document sharing and signature collection.
Qualifications and Requirements
- 2–4 years of experience in startup operations, with most ideal prior experience in executive support roles.
- Proven ability to manage confidential information with discretion and integrity.
- Strong understanding and experience (2+ years) of budgeting, cash flow management, and ideally experience financial coordination across multi-country operations.
- Familiarity with UK compliance systems (Companies House, HMRC, SEIS/EIS).
- Proficient in Google Workspace, Notion, Microsoft Excel, and financial tools such as Pleo or Xero.
- Excellent organisational and communication skills, with attention to detail and ability to manage multiple concurrent priorities.
- Confident in working independently, identifying process improvements, and following through to implementation.
Contract Structure
- Time commitment: 3 days per week.
- Location: On-site in London with some remote flexibility.
- Duration: 6–12 months initial contract with potential for renewal.
Confidentiality and Conduct
This position provides access to sensitive business, financial, and personnel information. The contractor will be bound by a strict confidentiality and information protection agreement.
