About the role:
- Office organisation, ensuring the office is open and ready for business in time for the start of the working day.
- Managing incoming and outgoing post including scanning and distribution.
- Meeting room management, ensuring rooms are clean and tidy, with furniture returned to its proper place and confidential papers safeguarded.
- Meeting and greeting clients and other visitors, providing a warm welcome and refreshments, and alerting relevant staff to their presence.
- Front line call handling and dealing with basic enquiries, demonstrating exceptional client service, making appointments, and following up on calls.
- Keeping appropriate records in SOS of client preferences and needs, ensuring confidentiality of sensitive data.
- Confirming appointments in advance with all visitors and passing on information regarding any changes.
- Responsibility for Health and Safety within a branch, including keeping risk assessments updated and reporting potential issues.
- Ordering and managing stationery and office supplies, including refreshments and liaising with cleaning contractors.
- Conducting office inductions for new staff.
- Maintaining the branch intranet page.
- Helping to organise and support office events and entertainment.
- Creating and maintaining archive records, closing files, and scanning documents as required.
- Conducting administrative aspects of file reviews.
- Greeting and supervising contractors as required by the Facilities Manager.
- Communicating opportunities for social media or website content to the Marketing Manager.
- Assisting with telephone and reception cover for other branches during periods of holiday and sickness.
- Setting up video calls and assisting users with training on AV equipment for meeting rooms.
- Attending training and out of hours team meetings as needed, but not more than once per month.
- May be required to travel between offices.
- Other ad hoc duties as required.
Ideally you will have recent experience in a similar role and have excellent IT skills.
Part Time β 8.45am β 5.15pm Monday, Tuesday and Wednesday
Competitive Salary β Β£23,500 FTE, pro rata to Β£14,100
