We are excited to offer a fantastic opportunity for a Permanent Project Coordinator to come and join our Scotland schools account in Paisley. 40 Hours Per week (Standard business hours Monday to Friday). We have an exciting opportunity for a Project Coordinator to join our growing Projects Team, supporting the successful delivery of lifecycle, minor works and improvement projects across PFI school environments and complex facilities. In this role, you will play a key part in coordinating project activities, ensuring structured planning, clear communication and effective control throughout the project lifecycle. Acting as a vital link between administrative support and project delivery teams, you will help drive efficiency and consistency across a diverse project portfolio. The role is primarily based at our Paisley office, with the opportunity for some hybrid working.
What you will do
- Coordinate project activities, schedules and resources across multiple projects
- Maintain project programmes, trackers and action logs
- Support project planning and mobilisation, including site setup and logistics
- Monitor progress and follow up on actions, risks and dependencies
- Ensure project documentation is accurate, up to date and accessible
- Manage document control (drawings, permits, reports, certification)
- Maintain key registers including risks, issues and change control
- Prepare project reports, updates and performance dashboards
- Support cost tracking, basic financial reporting and purchase orders
- Ensure compliance with governance and audit requirements
- Act as a central coordination point for contractors and suppliers
- Arrange site access, inductions, permits and work schedules
- Ensure all required documentation is in place (RAMS, insurance, certification)
- Track contractor performance and elevate issues when required
- Support inspections, quality checks and defect resolution
- Coordinate lifecycle, compliance and improvement works within PFI environments
- Ensure statutory and contractual documentation is complete and recorded
- Support safe working in live school environments, including safeguarding
- Assist with asset data management and condition tracking
- Align project delivery with FM operations and school schedules
Stakeholder Communication
- Act as a key liaison between Projects, Operations, Schools and Contractors
- Coordinate meetings, site visits and project reviews (including minutes)
- Provide clear and timely project updates to stakeholders
- Support escalation of risks, delays and operational impacts
What you will bring
- GCSEs (or equivalent) including English and Maths
- Strong organisational and coordination skills
- Good understanding of project processes, tracking and reporting
- Competent in Microsoft Office (Excel, Word, Outlook) and project systems
- Familiarity with FM, construction or PFI environments (desirable)
- Experience in a coordination, project support or operational role
- Experience working with contractors or suppliers
- Experience within Facilities Management or similar environment (beneficial)
- Ability to manage multiple workstreams and project documentation
- Understanding of project tracking, reporting and scheduling
- Experience coordinating contractor activities in operational environments
- Strong communication and stakeholder coordination skills
- Highly organised with strong attention to detail
- Proactive and solutions-focused approach
- Able to prioritise and manage competing priorities
