The Virtual Group Air Planner will be responsible for handling group air/T4M travel/movements ranging from 10 to several thousand people for Scandinavian clients (Sweden, Denmark, Norway). This involves research and negotiation with airlines for group allocation of seats, agreeing to airline contracts, and handling seats while keeping to airline deadlines. Additionally, smaller groups will require experience with published and private fares bookable via the GDS. Specific expertise on group blocks is required for this role.
You will manage all aspects of T4M movements for the Scandinavian client portfolio, researching the best airlines for specific destinations, preparing cost comparisons with savings analysis, and engaging in T4M-related projects and program development. Upon client acceptance of the proposal, you will work on all contracted elements of the event, building relevant databases, handling amendments, and committing airline contract and deadline dates. You will produce event-specific reporting via Insights/Sage or Power BI and manage financial requirements from deposit invoices to final accounts and event debrief. You will connect with the Traveler Care group for ticketing, ensuring alignment on availability and timings to provide excellent customer service, particularly driving the nuances of group blocks.
What You’ll Do:
- Management of multiple client’s events, from 10 people up to 1000’s including all aspects of Air Travel
- Deliver outstanding service to the client's specification including research, budgets, policies, negotiation and management of airlines
- Planning, coordination, and execution of group air travel
- Communicate expertly amongst peers to share standard process
- Achieve targeted financial results whilst delivering high quality service and demonstrate significant savings on client spend
- Financial management throughout the life cycle of the booking
- Undertake continuous self-development and training
- Able to work on own initiative and within a team

What We’re Looking For:
- 2+ Years of previous (recent) Experience as a Travel for Meetings/Group Air Planner or Coordinator
- Experience in compiling event level reports via Insights, Sage or Power BI
- Experienced knowledge in GDS and specifically on group blocks
- Strong provider research and negotiation skills
- Using registration web site tools, gathering delegates’ information and handling delegate changes and updates is also an advantage
- Solid understanding using the Concur OBT in conjunction with Cvent integration, and building meetings within the Concur tool a Plus
- Customer focused with good attention to detail and communication skills
- Effective written and telephone communication skills
- Knowledge of Swedish is highly desirable. Other languages a plus.
