Assist with the oversight of the day-to-day functioning of the office, ensuring that all administrative processes run smoothly.
Provide administrative support to staff and management, including handling correspondence, preparing documents, and scheduling meetings and travel.
Maintain internal databases pertaining to onsite parking and fitness centre.
Work with Compliance to ensure the proper retention, protection, and disposal of records.
Support HR with miscellaneous tasks such as onboarding of new employees, retiree communications, and coordinating ordering and distribution of employee anniversary gifts.
Organise requested services with third-party vendors.
Procure office, kitchen, miscellaneous event, and safety supplies to ensure resources are available when needed.
Perform all mailroom related duties, including but not limited to the distribution of internal mail, collection and delivery of external mail from/to Post Office, managing all courier services (i.e. FedEx, DHL, etc.), and hand deliveries.
Conduct regular reviews of Corporate Administration procedures to ensure contents are always current and incorporate updates as necessary with the appropriate approvals.
Provide back-up for invoice processing, accurately and in a timely manner.
Book, prepare and breakdown boardrooms and other spaces for meetings and special events, including provision of catering and refreshments; liaise with Facilities and IT to ensure event space set-up and A/V requirements are provided as needed.
Provide back-up for other members of the Corporate Administrative team, as needed.
Provide additional administrative support on demand as required.
Perform any other duties as assigned.
Qualifications:
- High School diploma or equivalent with a minimum of 2 years office administration experience required.
- Experience in provision of superior customer service.
- Experience in interacting with senior levels of management.
- Ability to recognise need for discretion/confidentiality.
- Excellent organisational and diary management skills.
- High proficiency with Microsoft Office.
- Experience with online ordering.
- Meticulous attention to detail and accuracy.
- Experience with reconciliation of deliveries to invoices.
- Valid Bermuda Driver's License.
- Strong interpersonal and communication skills (both written and verbal).
- Ability to organise and prioritise a demanding workload.
- Self-starter who demonstrates initiative and team player who takes exceptional pride in their work.
- Ability to work reasonable additional hours as required.
