We are looking for a highly efficient and organized Senior Executive Assistant with keen attention to detail and high standards for accuracy and efficiency that will report into the EVP, International Chief Customer Officer, based in London. The EVP, International Chief Customer Officer, leads the Centre of Excellence (COE) team, which is a global team of 500+ colleagues spanning a wide geographical area. The nature of this leadership role requires significant travel and frequent meetings with senior leaders across geographies and business units. You will also play a crucial role by partnering closely with other EVP offices across the organisation.
This role requires a high level of self‑management, flexibility and personal responsibility coupled with keen prioritization, professionalism and ability to manage multiple time and topic sensitive tasks. Strong communication skills (written and verbal) and the ability to influence to drive outcomes are also essential.
The Senior Executive Assistant will be responsible for a broad range of activities, including:
- Coordination and managing business meetings, making all needed arrangements including sending invitations, reserving facilities, the setting up of our video communications tool WebEx, transportation, catering and assembling meeting materials.
- Calendar management, including coordination of compounded meetings with internal and external parties across multiple time zones, and management of calendar clashes.
- Book and arrange multiplex travel arrangements/logistics including: air, hotel, transfers & visas.
- Organizing regular team meetings, 1-to-1's with key stakeholders and team members, Town Halls, round table meetings and team‑building activities, including agenda prep, material preparation and follow‑up’s.
- Producing presentations, documents and general correspondence.
- Timely and compliant expense management.
- Serve as enterprise training champion for the Centre of Excellence (COE).
- Prepare/maintain organization charts and/or distribution lists; track recruitment and/or headcount.
Minimum Qualifications:
- Minimum of 5 years’ experience as an Executive Assistant, preferably to senior leaders operating in an International environment.
- Excellent written and verbal communication skills and the ability to produce presentation material.
- Expertise in Microsoft Office Suite (Excel, Word, Power Point, etc.) is essential.
- Management of diaries using autonomy to make decisions.
- Draft and proofread internal and external communications for quality, accuracy and relevance, offer opinions to collaborators and relevant teams.
- Timely preparation of expenses and invoice claims for collaborators.
- Self‑starter with the ability and courage to make own decisions.
- Flexibility and understanding when a fast response and delivery can be of high value.
- Able to demonstrate strong interpersonal skills and ability to form strong stakeholder relationships to influence.
- High integrity to manage confidential information on behalf of senior leaders.
- Ability to drive own continual self‑development.
- Flexibility to adapt to different leadership styles and prioritize leader’s different needs effectively.
