Job Description
The Enterprise Digital organization partners across the American Express business to power the company’s growth and innovation with trust and efficiency, driving competitive differentiation with speed.
As an Executive Assistant, you will serve as a trusted partner to senior leaders, providing strategic administrative and operational support that enables effective decision‑making, seamless execution, and organizational success.
This role requires exceptional organizational skills, sound judgment, and the ability to manage multiple priorities in a fast‑paced, global environment.
You’ll proactively anticipate executive needs, foster strong partnerships across the organization, and ensure business operations run efficiently while maintaining the highest level of professionalism and confidentiality.
Responsibilities
- Partner closely with leaders, acting as an extension of their office to support strategic priorities and day‑to‑day operations.
- Manage highly complex calendars across multiple time zones, balancing competing priorities and optimizing leader time.
- Coordinate domestic and international travel arrangements, including detailed itineraries, logistics, and travel‑related documentation.
- Prepare, reconcile, and submit expense reports accurately and in compliance with company policies.
- Coordinate leadership meetings, Town Halls, off‑sites, executive reviews, and employee engagement events, ensuring seamless logistics and execution.
- Build and maintain strong relationships with executive offices, business partners, and stakeholders across the organization.
- Anticipate business needs, identify potential issues, and proactively resolve scheduling and operational challenges.
- Support onboarding and organizational changes, including equipment requests, access management, distribution lists, organization charts, and team communications.
- Maintain team documentation, administrative processes, and operational trackers to ensure efficient business operations.
- Partner with the broader Executive Assistant community to share best practices, provide cross‑coverage, and support enterprise initiatives as needed.
- Handle highly confidential information with discretion, professionalism, and sound judgment.
- Minimum Qualifications
- Demonstrated experience supporting executives within a complex, matrixed, global organization.
- Proven ability to manage multiple priorities while maintaining exceptional attention to detail and accuracy.
- Excellent organizational, planning, and time management skills.
- Strong written and verbal communication skills with the ability to interact professionally at all levels of the organization.
- Ability to exercise sound judgment, maintain confidentiality, and proactively solve problems with minimal direction.
- Experience managing complex executive calendars, international travel, expense reporting, and executive meetings.
- Proficiency with Microsoft 365 applications, including Outlook, Teams, Word, Power Point, and Excel.
- Preferred Qualifications
- Experience supporting Vice President or Executive‑level leaders.
- Ability to anticipate business needs and proactively identify opportunities to improve executive and team effectiveness.
- Experience coordinating large‑scale leadership meetings, Town Halls, and employee engagement events.
- Strong relationship management skills with the ability to influence and collaborate across multiple organizations.
- Comfortable working in a fast‑paced environment with changing priorities and tight deadlines.
- Demonstrated ability to work independently while exercising discretion and sound business judgment.
