Highly analytical Meetings & Events Coordinator to manage end-to-end air charter flight assignments and attendee logistics for complex, high-visibility programs in a fast-paced environment. This role serves as a critical control point for attendee movement, managing dynamic manifests and ensuring precision execution across all arrival and departure logistics.
What You ́ll Do- Own attendee-to-flight assignments based on role segmentation (executives, speakers, VIPs, staff) while applying business rules, prioritization logic, and capacity constraints.
- Build, maintain, and reconcile detailed arrival and departure manifests with 100% accuracy across all programs, including names, roles, travel windows, and special accommodations.
- Perform ongoing audits and quality checks to identify discrepancies and proactively resolve data integrity issues.
- Collaborate cross-functionally with registration, housing, transportation, security, and operations teams to ensure seamless attendee journey and data integration across platforms.
- Monitor and manage real-time changes (cancellations, no-shows, substitutions, delays) by rapidly reassigning attendees while maintaining compliance with business rules.
- Generate detailed reporting on attendee movement, flight utilization, and manifest accuracy; analyze trends to identify process improvement opportunities.
- 3–5 years of experience in meetings & events, travel logistics, or attendee management in high-volume or high-complexity environments.
- Advanced proficiency in Google Sheets (pivot tables, formulas, data validation) and experience with event technology platforms (Cvent) and travel tools.
- Exceptional attention to detail with a zero-error mindset and demonstrated ability to manage large datasets and complex logistics with precision.
- Strong analytical and problem-solving skills with ability to manage multiple priorities, tight deadlines, and rapid changes in fast-paced environments.
- Excellent communication skills and demonstrated knowledge of domestic/international destinations, airport logistics, and travel routing.
- Demonstrated discretion and professionalism when handling sensitive, high-profile attendee information.
