About the Role

We are looking for a highly organised and proactive Operations and Maintenance Engineering Coordinator / Administrator to support our engineering team specialising in Electric Vehicle (EV) charger installations and maintenance. Based in Bristol and working in a hybrid role, you’ll be the central point of contact for engineering scheduling, reporting, compliance, and you’ll work closely with engineers, project managers, suppliers, and clients to ensure the efficient delivery of operations and maintenance activities, playing a key role in supporting the Bristol City Leap’s EV charging infrastructure rollout.

Key Responsibilities:

  • Coordination & Scheduling
    • Plan and coordinate daily activities for field engineers (contractors), including installations, reactive maintenance, and servicing.
    • Track and manage work orders, purchase orders and job progress.
    • Liaise with clients and site contacts to confirm access, schedules, and job details.
  • Administrative Support
    • Prepare and process documentation including risk assessments, method statements (RAMS), commissioning reports, and test certificates.
    • Maintain accurate records of completed work, service history, and compliance checks.
    • Upload and manage documentation across internal systems and client portals.
  • Compliance & Reporting
    • Ensure all work complies with relevant standards (e.g. BS 7671, IET CoP for EVSE).
    • Monitor and update service logs, maintenance schedules, and warranty tracking.
    • Support regulatory and safety audits by maintaining well-organised compliance records.
  • Communication & Support
    • Serve as the main administrative liaison between engineers, suppliers, and clients.
    • Monitor and respond to shared inboxes and service tickets.
    • Coordinate meetings and actions for all BCL O&M members.
    • Carry out accuracy checks and updates on registers, spreadsheets and reports and implement improvements where necessary.
    • Perform other duties as required.

Essential Skills & Experience:

  • Proven experience in a technical coordination, engineering support, or operations admin role (ideally within electrical, construction, or renewables sectors).
  • Understanding of electrical terminology and documentation, particularly relating to EV charging or similar infrastructure (desirable).
  • Strong organisational skills with the ability to prioritise workloads in a fast-paced environment.
  • Confident user of Microsoft Office, especially Excel and SharePoint.
  • Experience with job management, scheduling or Maintenance management system software.
  • Excellent written and verbal communication skills.
  • High attention to detail and process-driven approach.

Desirable (Not Essential):

  • Familiarity with EV charging infrastructure or renewable energy projects.
  • Awareness of industry standards such as BS 7671, IET CoP for EV Charging, CDM Regulations.
  • Basic knowledge of electrical certificates (EIC, EICR, MEIWC) and RAMS documentation.
  • Familiarity with data analysis and insights software such as PowerBI.
  • Understanding on systems improvements and the drive to present possible changes to leadership if required.

Working Conditions:

  • Hybrid working pattern: approx. 2–3 days in Bristol office, remainder remote.
  • Standard working hours with occasional flexibility during high-priority project periods.
  • May involve occasional site visits or field coordination support (non-technical).
