The Health & Safety Administrator supports the implementation and maintenance of health, safety, and environmental (HSE) systems across civil engineering sites. The role ensures compliance with legal requirements, company policies, and industry best practices by managing documentation, audits, and communication.
Key Responsibilities
- Documentation & Compliance
- Maintain up-to-date H&S records (RAMS, permits, inspections, training logs)
- Ensure all site documentation complies with CDM Regulations and company procedures
- Control document versions and distribute updates to site teams
- Assist with preparation of H&S files for audits and handovers
- Site Support
- Support site managers and H&S advisors with administrative tasks
- Coordinate inductions for new site personnel
- Track PPE issuance and compliance records
- Assist in toolbox talk scheduling and record-keeping
- Incident & Reporting
- Log accidents, incidents, and near misses
- Maintain incident registers and follow-up documentation
- Assist in compiling reports and statistics (weekly/monthly KPIs)
- Support investigations by gathering records and evidence
- Audits & Inspections
- Prepare documentation for internal and external audits
- Track corrective actions and ensure close-out
- Maintain inspection schedules and records
- Assist with site compliance checks
- Training & Competency Records
- Maintain employee training records (CSCS, CPCS, plant tickets, etc.)
- Monitor expiry dates and notify management
- Coordinate refresher training and certifications
- Communication & Coordination
- Liaise with site teams, subcontractors, and management
- Distribute safety alerts, bulletins, and updates
- Support H&S meetings and minute-taking
Key Skills & Experience
- Essential
- Experience in construction or civil engineering environment
- Strong administrative and organisational skills
- Knowledge of H&S documentation (RAMS, permits, risk assessments)
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Attention to detail and ability to manage multiple tasks
- Desirable
- Knowledge of CDM Regulations (UK)
- Experience with H&S management systems (e.g., ISO 45001)
- NEBOSH or IOSH qualification (or working towards)
- Experience with document control systems
