The Administrator role supports the Manufacturing and Engineering teams through effective administration control, co-ordination and communication. The role is office-based, with a daily requirement to visit the manufacturing area to engage with engineers, production teams and other stakeholders, managing engineering documentation at source. The position plays a key role in ensuring activities align with production needs, compliance standards and health and safety requirements.
Key Responsibilities- Provide administrative support to Engineering teams.
- Maintain accurate engineering records including maintenance logs, breakdown reports, PPM schedules.
- Update and manage the CMMS (Computerised Management System).
- Ensure documentation is current, controlled, and accessible on the shop floor.
- Ensure all relevant paperwork and systems are maintained and controlled.
- Maintain all contractor documentation i.e. permits to work.
- Raise and track purchase orders for engineering parts and services.
- Manage purchasing of consumables / stock control.
- Regularly visit the manufacturing areas to engage with engineers, technicians, and production stakeholders.
- Assist with document rollout, version control, and removal of obsolete documentation.
- Produce maintenance and performance reports (e.g. downtime, completion rates, backlog).
- Build effective working relationships with shop-floor teams to support smooth engineering operations.
- Support tracking of spares, consumables, and engineering resources.
- Prepare and support documentation for audits and inspections.
- Function as the central administrative contact for engineering queries.
- Cover the reception area when required.
- Essential Experience in an administrative role.
- Strong organisational and prioritisation skills.
- High attention to detail and accuracy when managing documentation.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Confident communicator, comfortable engaging with office-based and shop-floor teams.
