A fantastic opportunity to join an established, national engineering contractor as an Administrator providing vital administrative and receptionist support to the regional support functions and operational delivery teams. With a wide variety of day-to-day responsibilities, the position offers stability, longevity and development within a business delivering secured frameworks and projects with key clients.
The Role
We are seeking an enthusiastic and organised Administrator with proven experience in administrative and receptionist duties to be based in our Scotland regional office in Cumbernauld. This is a varied, front-facing role requiring professionalism, discretion and the ability to manage multiple priorities. Your duties and responsibilities will include, but will not be limited to:
- Administration & Business Support
- Maintaining routine administrative records, filing systems (electronic and paper-based), and ensuring information can be readily retrieved.
- Planning and organising own workload to meet priorities and agreed deadlines.
- Producing letters, reports, emails, forms, schedules and folders using a range of PC-based software packages.
- Filing and uploading project documentation as required.
- Performing general administrative tasks including photocopying, scanning, document control and internal mail handling.
- Assisting and collating timesheets for Scotland office-based staff.
- Supporting travel bookings via the company’s online booking system.
- Assisting with the ordering of PPE and office / site sundries as required.
- Providing administrative input into client and company reports where necessary.
- Maintaining electronic diary systems (Outlook) and supporting meeting coordination.
- Supporting wider business support and operational teams as required.
- Assisting with visits to other sites, depots or meetings on an ad-hoc basis.
- Reception & Visitor Management
- Ensuring all enquiries are dealt with in a professional, efficient, and timely manner.
- Providing a comprehensive and effective visitor and reception service.
- Managing incoming phone calls, responding to queries, and transferring calls to the correct individual or department.
- Assisting with general enquiries and ensuring they are passed to the appropriate team member for resolution.
- Recording all visitor arrivals, ensuring visitors are signed in, briefed appropriately and issued with any required documentation.
- Receiving parcels and packages for the building and ensuring all relevant documentation is accurately completed.
- Liaising with internal departments regarding meeting room bookings and arrangements.
- Ensuring the reception and front-of-house areas are kept tidy, professional and presentable at all times.
- Working alongside the Receptionist to ensure daily reception cover during lunch periods and annual leave.
- General
- Demonstrating a high level of discretion and confidentiality at all times.
- Maintaining strong IT capability with confidence across Microsoft Office packages, including Excel, Outlook, Word and PowerPoint.
- Supporting and participating in company and industry initiatives as required.
- Undertaking any other reasonable duties as requested by line management.
Requirements
- Proven experience in an administrative role (construction, rail or civil engineering experience advantageous).
- Previous experience in a receptionist or front-of-house role.
- Strong organisational skills with the ability to prioritise workload and work autonomously.
- Highly IT literate with intermediate Excel skills and strong working knowledge of Outlook, Word and PowerPoint.
- Professional, approachable and confident communication style.
- High levels of integrity, discretion and attention to detail.
- Full UK driving licence (essential), with willingness to include business mileage on insurance (business mileage reimbursed).
